Ability to qualify for a US Department of Defense security clearance required. This position is in-person. Toyon Research Corporation is seeking an administrative professional to work closely with Project Managers, Technical Managers and Engineers to assist in program management duties. These duties include compiling technical, financial, and other project data using various software tools for inclusion in reports and presentation materials; arranging for and internally negotiating program staffing requirements; assisting with the scheduling of program tasks; ensuring quality of and timeliness of program documentation and briefings; and general assistance in the administration of project management. Responsibilities require active communication and planning among various members of the technical staff. A highly qualified candidate will have keen attention to detail and take initiative to ensure duties are done in a timely manner.
Responsibilities:
Coordinate project activities among the program management, technical team, customers, and outside parties related to program execution, management, and planning. Participate in project meetings to coordinate logistics and follow-up activities. Monitor financial information related to program budgets and cost proposal preparation. Monitor and troubleshoot potential scheduling problems/conflicts. Assist in the creation, review, and on-time delivery of project documentation, including proposal preparation, reports, memos, and other forms of communication. Assist project teams with completing other (non-documentation related) program deliverables within the program schedule. Coordinate with the Accounting department to assist in program-specific purchases, including budgets for subcontracts, consultants, and suppliers. Perform resource/staff planning and coordinate resource sharing between projects. Requirements Bachelor's degree in English, Psychology, Business, Communications, or equivalent experience; Minimum of 2 years of experience in a similar role Computer proficiency (Microsoft Office - Excel, Word, and PowerPoint); Excellent interpersonal and communication skills, written and oral; Interested in technical concepts and jargon; and Self-motivated, with an ability to prioritize and handle multiple tasks simultaneously while maintaining attention to detail.
Preferred Requirements:
• Prior project management experience and/or certification, e.g. Project Management Professional (PMP)
