Job Description
About the Role We're looking for a proactive and detail-oriented Administrative Assistant/Project Coordinator to support our signage operations team. The ideal candidate will be organized, communicative, and eager to learn the ropes of physical branding in a fast-paced, design-and-build environment. Responsibilities Jump in with ad hoc tasks across the office and shop to keep projects moving smoothly Assist in managing and updating project schedules, work orders, and installation calendars Communicate with vendors, installers, and clients to coordinate tasks and timelines Maintain accurate digital and physical file systems for property data, signage plans, and permits Support quoting, invoicing, and document preparation for project bids Schedule meetings, organize internal communications, and support field teams with logistics Qualifications Associate or Bachelor's degree preferred, or equivalent work experience Exceptional organizational and time management skills Strong written and verbal communication abilities Comfortable managing multiple tasks across different projects Proficiency in Microsoft Office (especially Excel and Word); familiarity with project management software a plus Previous experience in construction, signage, real estate, or design industries is a bonus
