Role Overview:
The Project Coordinator plays a vital role in supporting the planning, execution, and tracking of real estate and facilities projects. This position ensures project milestones are met on time and within budget by maintaining clear schedules, tracking deliverables, and facilitating communication across key stakeholders. Additionally, the coordinator assists with real estate lease administration and core financial processes related to vendors and project budgets. Key Responsibilities Project Management & Coordination Assist project managers in the day-to-day coordination of real estate and facilities initiatives. Maintain and update project schedules, timelines, and milestone trackers to keep projects on target. Prepare and distribute comprehensive project status reports, executive dashboards, and meeting minutes. Track project deliverables and proactively follow up with internal and external stakeholders to ensure clear accountability. Real Estate Administration Support lease administration tasks, including tracking critical dates, lease renewals, and official correspondence. Maintain organized, centralized records for all real estate documents, contracts, and lease files. Conduct site selection research and gather location/demographic data for new facilities or expansions. Reporting & Budgeting Support Create and manage purchase orders (POs) and perform invoice reconciliation with vendors. Assist in tracking and monitoring project budgets to ensure financial alignment. Support the preparation and submission of Capital Expenditure (CapEx) requests.
Qualifications & Skills Must-Have:
Direct experience in project management or project coordination. Exceptional organizational skills and high attention to detail. Strong written and verbal communication skills.
Technical Skills & Software:
Required:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Required:
Knowledge of real estate lease management and standard payment/procurement processes. Nice to
Have:
Familiarity or working experience with SAP.
