Job Description
This position is 100% onsite at our Orange, CA office. AO is seeking an experienced Project Manager to join our Amenity team. This role is responsible for overseeing and delivering architectural projects from inception through completion—ensuring they are completed on time, within scope and budget, invoiced promptly, and successfully collected. As a key liaison between clients and project teams, the Project Manager ensures project success through leadership, coordination, financial management, and proactive communication. This individual manages multiple projects simultaneously and plays a critical role in maintaining client satisfaction and operational excellence. Key Responsibilities Project & Client Leadership Oversee development of comprehensive project plans, including scope, schedule, budget, and resource allocation. Serve as the primary client point of contact, maintaining strong client relationships and ensuring alignment with client goals. Lead multidisciplinary project teams including architects, interior designers, engineers, and consultants. Project Execution & Oversight Manage all administrative, technical, and financial aspects of assigned projects. Prepare strategic plans for successful project delivery. Monitor and control project budgets, schedules, and scope; implement corrective actions as needed. Create, maintain, and adjust project schedules to mitigate delays and risks. Uphold AO's standards for design excellence, documentation quality, and production efficiency. Financial Management & Collections Manage project fee estimates, scopes of work, proposals, and contracts in coordination with administrative and legal support. Oversee invoicing processes and actively assist in accounts receivable collections to successful resolution. Track expenses and implement cost-control measures to ensure financial performance. Construction Administration & Compliance Assist with construction administration, including site visits, RFIs, submittal reviews, and coordination with contractors. Ensure permitting, regulatory approvals, and compliance with applicable building codes and regulations. Identify project risks, develop contingency plans, and proactively address issues. Documentation & Reporting Oversee preparation of drawings, specifications, reports, and project documentation. Provide regular project status updates and presentations to clients, leadership, and stakeholders. Mentorship & Organizational Engagement Mentor junior architects and support professional development. Collaborate effectively with internal Functional Areas, Project Administration, and AO-sanctioned committees. Support and actively participate in company culture and initiatives. Qualifications Bachelor's or Master's degree in Architecture, Engineering, Construction Management, or related field 10+ years of experience as a Project Manager in an architectural services firm or related industry Proficiency in Revit and other industry-standard software Strong understanding of architectural design principles and construction processes Knowledge of building codes, permitting, and regulatory processes Excellent leadership, communication, and interpersonal skills Strong analytical, reasoning, and critical-thinking abilities Why AO?
