Job Description
Responsibilities Project Coordination Help coordinate active remodeling projects from start through completion. Maintain job tracking sheets, dashboards, open items, and follow-up lists. Track what happened on each job, what is happening next, what is delayed, and what needs attention. Help organize job photos, videos, invoices, proposals, client notes, subcontractor notes, and documents. Help prepare daily job summaries, weekly look-ahead reports, and client update drafts. Track pending client decisions, material needs, delays, field issues, and possible change-order items. Visit jobsites when needed to collect photos, verify job status, confirm details, or gather missing information. Escalate issues before they become bigger problems. Subcontractor Coordination Follow up with subcontractors by phone, text, WhatsApp, and email. Confirm subcontractor availability, job dates, pricing, scope, required materials, and jobsite expectations. Help coordinate trade sequencing so work happens in the correct order. Help confirm which subcontractor is needed next and whether the job is ready for them. Track subcontractor commitments and follow up when they do not respond. Help collect missing subcontractor documents, including license information, insurance, W-9s, invoices, proposals, and photos of work. Help compare subcontractors by reliability, pricing, quality, responsiveness, and professionalism. Trade Sequencing and Job Readiness Help organize the sequence of trades on each project. Confirm that the next trade has the information, materials, access, and schedule needed before showing up. Track blockers that could delay the next trade. Help prevent gaps between trades by confirming dates and readiness ahead of time. Help identify when a job is not ready for the next step and escalate it early. Subcontractor and Vendor Sourcing Help Apex find, pre-screen, and organize new subcontractors and vendors. Call suppliers, supply houses, vendors, and trade contacts to ask for subcontractor referrals. Visit supplier counters, Pro Desks, vendors, and jobsites when appropriate to gather trade contacts. Collect information on new subcontractors, including trade, contact information, service area, language, availability, photos of work, pricing method, document status, and red flags. Help maintain and improve Apex's company-owned subcontractor database. Help build backup options so Apex is not dependent on one person's private contact list. Client and Internal Communication Help prepare clear client-facing updates. Help track client questions, concerns, and pending decisions. Help translate simple communication between English and Spanish. Keep communication professional, clear, and documented. Help make sure clients are not left wondering what is happening next. Proactive and resourceful. Comfortable calling, texting, and following up repeatedly. Comfortable talking to subcontractors, suppliers, vendors, clients, and internal team members. Able to be firm, respectful, and professional. Not afraid to ask direct questions. Not afraid to chase answers. Able to organize scattered information into clear next steps. Comfortable with WhatsApp, Google Sheets, Google Docs, Gmail, photos, and basic software. Able to visit jobsites, suppliers, and vendors in San Diego County. Calm under pressure. Detail-oriented. Reliable. Hungry to learn and grow. Communication Style We Need This role requires someone who can be respectful and professional while still being direct. We are not looking for someone aggressive or confrontational. We are also not looking for someone who avoids uncomfortable conversations. You must be comfortable following up, asking clear questions, requesting missing information, confirming details, and holding subcontractors and vendors accountable in a professional way. The right person is persistent, tactful, and not gun shy. Helpful Experience Experience in any of these areas is helpful: Construction coordination. Residential remodeling.
