Hospice of Santa Barbara, Inc., the second oldest Hospice in the United States, is a unique and innovative organization that serves several hundred children and adults monthly who are either impacted by a life threatening illness or grieving the loss of a loved one. All of our services are provided free of charge. We receive no support from government or insurance agencies, and are dependent on the support of the community for all we do. ABOUT THE POSITION
Hospice of Santa Barbara is seeking an experienced Temporary Event Project Coordinator to provide additional project management capacity during the final 10-12 weeks leading up to our annual Heroes of Hospice Luncheon , our premier fundraising event, happing in September. This is not a position responsible for creating an event from the ground up. The venue, vendors, committee, marketing consultants, project plan, and Development team are already in place. We are looking for someone who can quickly step into an active project, coordinate multiple moving pieces, keep timelines on track, and help ensure a successful event. The successful candidate will work closely with the Director of Strategic Advancement and Development staff while coordinating with marketing consultants, vendors, committee members, volunteers, and other event partners.
Responsibilities include:
Getting up to speed with the Heroes of Hospice project plan and timeline. Coordinate follow-up with staff, vendors, consultants, committee members, and volunteers Assist with sponsor tracking, fulfillment, and recognition Help organize silent auction procurement follow-up, organization, and logistics Help coordinate post-event follow-up activities Assist with venue logistics leading up the event and day-of event Help with confirming event details with vendor Help organize day-before preparations Event-day operational coordination and general assistance Post-event wrap-up, clean up/tear down, follow up activities with venue, sponsors, or other Desired Qualifications & Qualities Experience coordinating events, conferences, or similarly complex projects Strong organizational and project management skills Excellent written and verbal communication Strong attention to detail Ability to manage multiple priorities simultaneously Professional communication skills with vendors, volunteers, sponsors, and staff Proficiency with Microsoft Office Ability to work independently while collaborating effectively with a team Experience coordinating fundraising events is preferred but not required Highly organized Dependable Proactive Calm under pressure Collaborative Flexible Detail-oriented Comfortable coordinating many moving pieces at once To apply, please apply at hr@hospiceofsb.org.
