Job Description

Job Summary We are seeking a highly organized and detail-oriented Project Coordinator for a temp-to-hire opportunity in Simi Valley, CA. This role is ideal for an administrative professional with 1 to 2 years of experience who is ready to grow into project coordination while supporting purchasing, vendor communication, documentation, scheduling, and office operations. The Project Coordinator will play an important role in helping projects stay organized, documented, and on schedule. This is a great opportunity to work in a collaborative office environment with supportive leadership, positive teamwork, and exposure to multiple areas of the business, including project management, vendor management, accounting support, purchasing, and executive administration. The right candidate will enjoy keeping details organized, following up on outstanding items, communicating professionally with vendors and internal teams, and making sure projects continue moving forward. Key Responsibilities
  • Coordinate project documentation, electronic job folders, purchase orders, vendor quotes, completion photos, invoices, and supporting records.
  • Communicate with vendors regarding project schedules, pricing, requirements, documentation, and outstanding follow-up items.
  • Update project management software with current project timelines, status updates, task progress, and related information.
  • Order materials and supplies for active projects, prepare shipping labels, coordinate outgoing shipments, and maintain office and operational supplies.
  • Provide administrative support including answering phones, managing email and voicemail inquiries, filing, mail distribution, meeting coordination, calendar support, and travel arrangements.
  • Support Project Managers, executive leadership, Accounting, HR, and other departments with day-to-day administrative and project-related needs. Required Qualifications and Skills
  • Coordinate active project documentation, vendor communication, purchase orders, quotes, invoices, and completion records.
  • Track project timelines, deadlines, status updates, and outstanding follow-up items in project management software.
  • Support scheduling, purchasing, vendor coordination, office operations, and administrative needs across departments.
  • Maintain accurate project files, electronic folders, correspondence, and supporting documentation.
  • Minimum of 1 to 2 years of administrative, project coordination, office support, or related experience.
  • Strong organizational skills with excellent follow-up and attention to detail.
  • Ability to manage multiple priorities in a fast-paced office environment.
  • Comfortable working independently, taking ownership of tasks, and shifting priorities when urgent needs arise.
  • Professional verbal, written, phone, and email communication skills.
  • Proficiency with Microsoft Word, Outlook, and Excel.
  • Typing speed of approximately 45+ WPM.
  • Strong proofreading, grammar, filing, and document management skills.
  • Ability to communicate confidently and professionally with vendors, employees, management, and customers.
  • Ability to remain seated for extended periods, move throughout the office as needed, occasionally bend, kneel, or squat, and lift or move materials up to approximately 45 pounds. Preferred Qualifications
  • Previous experience supporting multiple projects, vendors, schedules, or deadlines.
  • Experience with project management software.
  • Familiarity with QuickBooks or similar accounting software.
  • Experience assisting with purchasing, vendor invoices, project files, or job documentation.
  • Collaborative team player with strong problem-solving skills and a proactive, dependable work style.
