Sample Coordinator The Workroom LA Vernon, CA Job Details Full-time $18 - $20 an hour 1 hour ago Qualifications Packing Product development Attention to detail Calendar management Organizational skills Full Job Description About the Role We are seeking a highly organized and proactive Sample Coordinator to support our Product Development and Production teams. This role is responsible for coordinating and tracking apparel samples throughout the development and production process—from initial prototypes through fit, pre-production, and TOP samples. The Sample Coordinator will work closely with Design, Product Development, Production, Sales, and our factories to ensure samples are received accurately and on time. The ideal candidate is detail-oriented, organized, comfortable managing multiple priorities, and proactive about following up. This is a hands-on role that requires someone who takes ownership of sample status and helps keep the development calendar moving. Key ResponsibilitiesSample Coordination & Tracking Coordinate samples from initial development through production, including proto, fit, PP, and TOP samples . Maintain accurate sample tracking records and update sample status throughout the development process. Track outstanding samples, revisions, approvals, and resubmissions. Follow up consistently with factories and vendors to ensure samples are submitted and delivered according to schedule. Monitor sample deadlines against the development and production calendar. Flag delays, discrepancies, or potential issues before they impact key deadlines. Sample Receiving & Organization Receive incoming samples and ensure they are properly identified, labeled, logged, and routed to the appropriate team. Maintain an organized sample room with samples clearly labeled and easy to locate. Organize samples by brand, season, style, status, or other established categories. Ensure samples are returned to their proper location after meetings, fittings, sales appointments, and reviews. Help maintain accurate visibility of where samples are located and who is using them. Shipping & Logistics Coordinate outgoing sample shipments to internal teams, sales representatives, showrooms, factories, vendors, and other partners. Prepare samples for shipment and ensure packages contain the correct styles and quantities. Track shipments and follow up on outstanding or delayed deliveries. Maintain shipment and tracking information for easy reference. Cross-Functional Communication Work closely with Design, Product Development, Production, and Sales to ensure teams have the samples they need when they need them. Communicate sample comments, revisions, approvals, and updates between internal teams and factories. Follow up with appropriate team members when comments, approvals, or decisions are needed. Provide regular visibility into outstanding samples and upcoming deadlines. Escalate sample delays, quality concerns, missing information, or other issues to the appropriate team members. Product Development Support Assist the Product Development and Production teams with general development tasks as needed. Help prepare samples for fittings, line reviews, sales meetings, photoshoots, and other internal reviews. Ensure samples presented internally or to customers are organized, accurate, and show-ready. Assist with maintaining style information, sample records, development trackers, and related documentation. Support the team in keeping styles moving according to the development calendar. Qualifications 1-3 years of experience in apparel, fashion, product development, production, sample coordination, or a related role preferred. Strong organizational skills and exceptional attention to detail. Ability to manage a high volume of samples, styles, and deadlines simultaneously. Strong follow-up skills and willingness to proactively communicate with internal teams and external vendors. Comfortable working in a fast-paced environment where priorities may change. Strong written and verbal communication skills. Basic understanding of the apparel development and production process is preferred. Familiarity with proto, fit, PP, and TOP samples is a plus. Proficiency with Excel or Google Sheets required; experience with Airtable or similar tracking/project-management systems is a plus. Must be comfortable working hands-on with physical samples, organizing sample racks, preparing shipments, and moving samples throughout the office. The Sample Coordinator helps connect these teams and ensures that the right samples are accurate, organized, show-ready, and available at the right time .
Pay:
