Assistant Project Specialist Job Description The Assistant Project Specialist supports engineering project teams to keep complex projects on schedule and within budget. This role focuses on project coordination, documentation, reporting, and financial support within a construction or engineering environment, offering strong exposure to large-scale infrastructure projects and a clear path into project controls or project management. Responsibilities Support project scheduling activities, including tracking deliverables, milestones, and key deadlines. Assist with project financial processes such as invoices, cost reports, change orders, and accounts payable activities. Coordinate meetings and communication between internal project managers, engineers, clients, and vendors. Maintain accurate and up-to-date project documentation, reports, and communication logs. Monitor and track RFIs, submittals, and project workflows to ensure timely responses and approvals. Enter, update, and verify project data in relevant systems, including cost updates, schedules, and workflow changes. Support the preparation and organization of safety and compliance documentation. Assist with project setup, including establishing workflows, documentation structures, and reporting templates. Collaborate with project managers and team members to follow up on outstanding items and ensure project tasks remain on track. Use construction management and project systems to support daily project administration and reporting needs. Essential Skills Demonstrated experience in project coordination or administrative support for project teams, preferably in construction or engineering. Experience supporting project managers or project teams rather than leading projects independently. Proficiency with Microsoft Office tools for documentation, data entry, reporting, and scheduling support. Ability to track multiple deliverables, deadlines, and follow-ups across several projects simultaneously. Experience working with invoices, cost reports, accounts payable, or other project financial data. Comfort coordinating and communicating across teams, including project managers, vendors, and clients. Strong attention to detail in documentation, reporting, and data entry. Ability to work effectively in a fast-paced, multi-project environment. Strong written and verbal communication skills. Strong organizational and problem-solving skills. Ability to manage multiple priorities and competing deadlines. Experience in construction, engineering, or other project-based environments (highly preferred). Additional Skills & Qualifications Bachelor's degree preferred in business, construction management, or a related field, or equivalent relevant experience. Familiarity with construction management or engineering project tools such as Bluebeam, Adobe, SharePoint, CRM systems, and construction management software. Experience with platforms like Procore or similar project management systems for handling RFIs, submittals, and change orders. Understanding of project financial processes including change orders, cost tracking, and accounts payable. Interest in developing a career path into project controls or project management. Ability to quickly learn and navigate enterprise-level project systems and structured workflows. Work Environment This role is fully onsite in a professional office setting, working closely with project managers and engineers in a collaborative team environment. The work is fast-paced and deadline-driven, with a steady pipeline of projects rather than one-off assignments. You will operate within structured processes and enterprise-level project systems, gaining hands-on exposure to large-scale engineering and infrastructure projects. The environment emphasizes clear communication, organized documentation, and consistent coordination across multiple stakeholders. Job Type & Location This is a Contract to Hire position based out of Englewood, CO. Pay and Benefits The pay range for this position is $31.00 - $32.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
