Join a Growing Plumbing, Heating, & Air Conditioning Company We are seeking a highly organized, detail-oriented Project Coordinator / Biller to join our team in Bristol, Connecticut. This position is ideal for someone who enjoys problem-solving, researching information, working with numbers, being a motivational team leader while managing a team, assistanting, and ensuring invoices are completed accurately and on time. The successful candidate will play a key role in billing operations, accounts receivable management, customer communication, and administrative support. While experience with QuickBooks and Adobe Acrobat is a plus, we are willing to train the right individual who brings strong computer skills, a positive attitude, and a commitment to accuracy.
Key Responsibilities:
Leading a team of three and managing their work logs to ensure daily goals are consistently met. Be a team lead for training new billers and to answer questions. Manage new projects assigned to us and follow through to completion. Managing the office's daily schedule, work log, and calendar Answering phones and emails while keeping track of important emails Maintains Email Inbox Entering in new orders in Adobe Acrobat and Monday.com Be responsible for achieving acceptable numbers of orders in Monday.com Responsible to alert the owner of important emails and phone calls Answering and directing phone calls while also screening them (low to medium call volume) Organizing and maintaining files, both physical and digital Print out and file material emails in the pertaining job folders Preparing, proofreading, and formatting documents Help assist in maintaining and billing our residential customers and small private companies while billing our main client Welcoming our guests Supporting daily office operations and assisting upper management as needed. Entering in billing information to process and generate invoices accurately and in a timely manner, helps bill along the side of the team Act as secondary support for Weekly Payroll Record checks in Quickbooks / Call past-due customers for payment Conduct thorough research (looking up hours and materials) and proofreading of billing documents to ensure accuracy Utilize QuickBooks for billing and financial transactions Filling in Adobe Acrobat and placing pictures on pdfs (of the job's work) Maintain organized records of billing activities Provide exceptional customer service when addressing billing inquiries Following up weekly on past due invoices Assist as needed in Submitting Sales Tax Exemption Forms and reaching out to vendors Puts together training binders when needed Takes care of new hire paperwork End of the Week Reporting Be secondary support for Maintaining office supplies Obtains a daily report from each of our workers, who are on the road of what they did And various other tasks and projects when the need arises.

Proven experience in assisting, managing a small team, customer service, and billing: accounts receivable and billing inquiries Strong data entry skills with high accuracy Excellent organizational abilities to manage multiple tasks effectively Proficient in Microsoft Office suite Ability to work collaboratively in a team environment Working with saving files of jpegs We are seeking a candidate who possesses the following qualities: Self-Driven and Proactive Positive, Helpful, Supportive, Can-Do Attitude, Team Player Goal-Oriented and Focused Highly Organized Detail Oriented Expert Computer Skills and Fast, Proficient Typing Skills Enjoys Conducting Research and Problem-Solving Ability to Multitask Effectively Strong Communication Skills for dispatching and coordinating with technicians in the field Has nice phone/ email etiquette Excellent Problem-Solving Abilities Additional Responsibilities may include, but are not limited to: Carrying out various administrative duties such as filing, typing, copying, binding, scanning, etc. Work Environment In-person position located in Bristol, CT Smoke-free workplace No phone calls, please
