Role Description We are seeking a full-time, detail-oriented Inside Project Manager to join our growing team at Swan Associates. This role is ideal for a motivated, organized, team-oriented professional who thrives in a fast-paced environment and wants to play a central role in delivering exceptional outcomes on commercial HVAC projects. As an Inside Project Manager at Swan, you will work closely with our Strategic Solutions team, comprised of experienced engineers and product specialists, to help execute complex commercial HVAC projects from quotation and submittal, through order fulfillment, installation support, and closeout. You will play a central role in the successful delivery of each project - applying technical, commercial, and organizational judgment throughout the project lifecycle while working hand in hand with talented, experienced industry professionals at Swan. Responsibilities Manage multiple large-scale commercial HVAC projects, monitoring costs, pricing, scope changes, schedules, and critical deadlines to support successful project delivery and team goals Perform equipment take-offs, estimates and proposals, and assist with cost analyses to support project planning and solution development Coordinate with customers, Sales Engineers, logistics, leadership, installing contractors, and other internal teams throughout the sales and installation process to drive successful project execution and customer satisfaction Conduct site visits at active projects to support installing contractors, help resolve project-related needs, and confirm that established procedures are being followed throughout the installation process Proactively identify, communicate, and help resolve project issues involving equipment, order discrepancies, backorders, scheduling, scope, and delivery Maintain a strong understanding of Swan's product offerings, competitive products, and current market conditions Track equipment lead times, releases, and delivery schedules to anticipate risks and help keep projects on track Manage submittals, approvals, and order-processing activities to keep projects accurate, organized, and compliant with company procedures Utilize and manage internal company systems to maintain complete project, customer, order, and communication records, including revisions, scope changes, and closeout materials Provide support, guidance, and training to new team members as needed Qualifications Bachelor's degree in engineering or a related technical field required Ability to read and interpret construction plans, specifications, and equipment schedules Previous experience in HVAC, construction, building systems, or a related industry preferred Strong organizational and time-management skills, with the ability to manage multiple projects and competing priorities in a fast-paced environment Proficient in Microsoft Excel and Bluebeam, with strong attention to detail and accuracy when working with estimates, proposals, submittals, orders, and project documentation Excellent communication and interpersonal skills, with the ability to work effectively with customers, installing contractors, Sales Engineers, and cross-functional internal teams Self-motivated, dependable, and able to take ownership of projects from early planning through order fulfillment, installation support, and completion Valid driver's license and ability to travel locally to active project sites as needed Benefits Competitive wage package + bonus 401(k) with employer match Health insurance (individual + family plans available) Dental insurance Vision insurance Company-sponsored life insurance Health Savings Account (HSA) eligibility Paid time off (PTO) Paid holidays
