https://experiencepinpoint.com The Opportunity Pinpoint is seeking a Project Coordinator to help keep projects organized, documented, and moving from handoff through delivery. This is an execution-focused role that supports Project Managers on larger, more complex work while independently managing select projects with a lower degree of complexity. The right person is highly organized, very detail-oriented, comfortable working across multiple departments, is confident with technology, and motivated to develop deeper knowledge of fabrication, signage, print production, events, and physical project execution. What You'll Do
- Set up and maintain projects in our custom project management platform, including schedules, tasks, order line information, documentation, status updates, and next actions.
- Independently coordinate smaller projects from client communication and approval through production, delivery, or installation with appropriate PM oversight.
- Prepare project kickoffs and production handoffs so teams receive complete, accurate information before work begins.
- Support Project Managers on complex projects by tracking approvals, materials, artwork, samples, vendor commitments, deadlines, shipping, and installation requirements.
- Coordinate daily communication between project management, design schedules, technical design, purchasing, production, fabrication, vendors, installers, and clients.
- Follow up persistently on open items and escalate scope, schedule, cost, quality, or client-impacting risks early.
- Support managing vendors, purchase orders, shipping logistics, site surveys, installations, punch lists, billing readiness, and project closeout.
- Maintain organized project files and accurate records throughout the project lifecycle. What Success Looks Like
- Project information in our project management platform is current, accurate, detailed, and dependable.
- Deadlines, approvals, and handoffs do not get lost between departments.
- Simple projects are delivered accurately, on time, and with minimal supervision.
- Project Managers spend less time chasing administrative details and more time managing clients, risk, scope, and complex execution.
- Potential problems are surfaced early instead of becoming preventable fire drills.
- Technical and production knowledge grows steadily, enabling increased project ownership over time. Required Experience
- 2+ years in project coordination, project management, account operations, or production coordination.
- Experience with tangible products, signage, fabrication, print, events, exhibit displays, manufacturing, or related production environments preferred.
- Exceptional organization, follow-through, communication, and attention to detail.
- Comfortable managing multiple active projects and competing deadlines.
- Ability to learn technical specifications, materials, drawings, production workflows, and field requirements.
- Strong computer, technology, and project management system proficiency.
