Role:
As a Job File Coordinator, you will act as a key liaison between customers and project stakeholders, ensuring projects run smoothly from start to finish. You'll monitor project progress, maintain accurate documentation, and collaborate across teams to meet customer needs efficiently. Key Responsibilities:
Oversee and maintain accurate job file documentation from lead conversion to project completion. Communicate clearly and efficiently with customers, production crews, and stakeholders to ensure project success. Create and review estimates based on project scope and supporting documentation. Monitor active projects to ensure compliance with client requirements and internal standards. Audit job files daily to confirm all work is properly documented and invoiced. Maintain an up-to-date Work in Progress board to track project statuses. Assist in the final review and audit of completed job files before invoicing. Support cross-departmental collaboration as needed.
Position Requirements:
High school diploma or GED (required). At least 1 year of customer service and/or office-related experience (preferred). Strong administrative and multitasking skills with keen attention to detail. Proficiency in relevant computer applications and digital tools. Excellent verbal and written communication skills. Experience in the restoration, construction, or insurance industries is a plus.
Work Environment and Physical Demands:
Predominantly a sedentary office role in a fast-paced environment. Occasional filing tasks may require lifting, bending, or standing. Ability to work varying hours (Monday-Friday, 7:00 a.m. - 6:00 p.m.) with flexibility as needed. Why Join Us?
