The Project Coordinator plays a key role in supporting the successful execution of commercial and state contracted furniture projects. This position is responsible for preparing documentation, coordinating purchasing activities, maintaining accurate project records, and ensuring seamless communication between sales, vendors, project managers, logistics, and customers. The ideal candidate is analytical, detail oriented, highly organized, and able to manage multiple timelines and documentation requirements simultaneously
- Prepare, maintain, and organize project documentation, reports, records, and files.
- Ensure all project documentation complies with State or commercial contract requirements, including correct bids, quotes, and contract references.
- Create install documents, master lists, room tags, and consolidated lists for installation teams.
- Support project managers with administrative tasks, including building master and consolidated lists for delivery planning and third party installation quotes
- Work closely with the Sales team to prepare accurate customer quotes.
- Verify that correct bids, contracts, colors, specifications, and quantities are used in all quotes.
- Ensure pricing is complete and accurate for all items.
- Revise quotes as changes are received from customers or internal teams.
- Enter purchase orders into company systems and track order status through completion.
- Coordinate with vendors regarding material orders, acknowledgements, delivery schedules, and changes.
- Pre receive orders by entering acknowledgement dates, verifying pricing, confirming correct bids/contracts, and adding freight or surcharges as needed.
- Monitor vendor timelines to ensure alignment with project schedules and customer installation dates.
- Identify and reorder missing, damaged, or incorrect items needed for punch list completion.
