full-time Company Description SDH Studio is a high-end residential architecture and interior design firm based in Miami, Florida. We design luxury custom homes for discerning clients who expect exceptional quality, creativity, and attention to detail. Our team of 12+ professionals works collaboratively across design, project management, and technical delivery to produce award-worthy work. Role Description The Project Coordinator is the logistics backbone of our project delivery process. This role ensures that information flows smoothly and on time between SDH's design team, engineering consultants, permitting agencies, and contractors. You will not be designing or making technical decisions

  • instead, you will be the organized, detail-oriented person who makes sure the right information reaches the right people at the right time, that nothing falls through the cracks, and that every project stays on track.

This position reports directly to the Director of Project Delivery and works closely with the entire architectural team.

IMPORTANT NOTE

: This role does not involve architectural design, drafting, or drawing production. This is a logistics and coordination role. You will be the person who keeps the flow of information organized, on time, and complete so that architects and engineers can focus on their technical work without worrying about administrative follow-through. Core Responsibilities RFI Management Receive Requests for Information (RFIs) from general contractors and subcontractors during construction Log, number, and track all RFIs in the project management system Route RFIs to the appropriate architect, designer, or consultant for response Follow up to ensure responses are completed within required timelines Distribute RFI responses back to the requesting contractor and all affected parties Maintain the RFI log for each active project, ensuring nothing remains open or unaddressed Permitting Coordination Receive permitting comments and correction notices from municipal permitting agencies Distribute permit review comments to the appropriate team members (architects, engineers, consultants) Track that all comments are addressed and responses are compiled on schedule Coordinate resubmission packages with all disciplines once corrections are complete Maintain a log of permitting status for each project (submission dates, review cycles, approval dates) Consultant Coordination Distribute project documents, updates, and deadlines to all engineering consultants (structural, MEP, civil, landscape) Collect and organize deliverables from consultants, ensuring completeness before forwarding to the design team Track consultant deadlines and follow up on overdue deliverables Organize and distribute meeting agendas and minutes for consultant coordination meetings Submittal Tracking Log and track all submittals (shop drawings, product data, samples, material certifications) Route submittals to the appropriate architect or designer for review and approval Return approved or corrected submittals to the contractor within required timelines Maintain the submittal log for each project General Project Administration Maintain organized digital project files and ensure all correspondence, documents, and drawings are properly filed Assist the Director of Project Delivery with schedule tracking and deadline monitoring Prepare and distribute project status updates and progress reports Coordinate document transmittals between the office and external parties Help organize and prepare materials for client meetings, site visits, and project reviews Required Qualifications 3-5 years of experience in a project coordination, administrative, or logistics role, preferably in architecture, engineering, or construction Exceptional organizational skills and attention to detail

g., Procore, Newforma, Bluebeam, or similar) Strong proficiency in Microsoft Office (Outlook, Excel, Word) and Google Workspace Excellent written and verbal communication skills Ability to manage multiple projects simultaneously and prioritize deadlines Bilingual English/Spanish strongly preferred (many of our consultants and contractors are Spanish-speaking) Preferred Qualifications Experience working in a residential architecture firm Familiarity with the permitting process in Miami-Dade County Understanding of construction documents (plans, specifications)
