This role offers an exciting opportunity to contribute to project coordination, client communication, and administrative excellence within a fast-paced environment. The ideal candidate will bring strong organizational skills, technical proficiency, and a proactive attitude to ensure project milestones are met efficiently while maintaining exceptional customer service standards. Duties Assist in developing project timelines, budgets, and resource allocation plans to ensure timely delivery of project objectives Coordinate with clients, vendors, and internal teams through effective communication channels, including phone and email correspondence Manage project documentation such as reports, spreadsheets, and data entry tasks using productivity software like Microsoft Office and QuickBooks Support office management tasks including filing, calendar management, and front desk responsibilities to facilitate smooth daily operations Monitor project progress by updating spreadsheets, tracking deadlines, and preparing status reports for review by senior project managers Provide excellent customer support by addressing client inquiries promptly and maintaining professional phone etiquette Organize meetings, prepare agendas, take minutes, and ensure follow-up on action items to keep projects on track Qualifications Proven experience in office management or administrative support roles with strong clerical skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with data entry and spreadsheet management skills Familiarity with QuickBooks or similar accounting software is preferred Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Strong communication skills in both verbal and written forms; bilingual abilities are a plus Demonstrated technical proficiency with computer literacy including phone systems such as multi-line systems and general office technology Previous experience supporting project coordination or assistant project management functions is highly desirable Ability to prioritize tasks efficiently while maintaining a positive attitude and professional demeanor Join us in this vital role where your organizational expertise will directly impact the success of our projects!
