Job Description
Position Summary The Administrative / Project Coordinator is responsible for the administration of residential projects from receipt of the executed contract through final closeout. This position serves as the central point of coordination between the sales team, accounting, purchasing, permitting, production, and homeowners, and is accountable for the completeness of project documentation, the accuracy of project records, and consistent communication with customers throughout every phase of the project. The position reports to the General Manager of the Residential Department. Essential Duties and Responsibilities Receive executed contracts from sales representatives daily and review each for required signatures, clarity of the scope of work (including detailed scope, inclusions and exclusions, and pricing for unforeseen items), and completeness of required documents, including the permit application, notarized Notice of Commencement, HOA application, and deposit payment. Maintain complete and accurate customer information, project records, and documentation in company system at all times, ensuring that permitting, purchasing, and production personnel have current information without delay. Keep homeowners informed during all phases of the project and track and log all customer communication in company system. Provide general administrative support to the Residential Department as needed. Required Qualifications Minimum one (1) year of experience in project coordination or administrative support, preferably within construction or a licensed trade. Exceptional attention to detail and accuracy in document review and recordkeeping. Professional written and verbal communication skills, with the ability to maintain consistent follow-up with homeowners, sales representatives, and internal departments. Proven organizational capacity to manage a high volume of concurrent projects without loss of accuracy or oversight. Proficiency with standard office software and digital recordkeeping systems. Preferred Qualifications Construction permitting experience, including familiarity with Florida building permits, Notices of Commencement, and HOA approval processes. Experience with JobNimbus, CompanyCam, or comparable construction CRM and field documentation platforms. Bilingual proficiency in English and Spanish. Benefits •All benefits become effective upon successful completion of a ninety (90) day probationary period.
Paid Time Off:
up to 40 hours in the first year of employment, up to 80 hours in the second year, and up to 120 hours annually beginning in the third year, at which point accrual caps. Paid main federal holidays. Medical, dental, and vision insurance. 401(k) retirement plan with company match of up to 3%.Compensation and Schedule Compensation:
$25.00 - $28.00 per hour, depending on experience.Schedule:
Monday through Friday, full-time. 7AM-4PM.Work location:
