Our team is committed to engineering excellence, responsive customer service, and dependable project execution—from order entry through production, shipment, installation, and final project completion. Position Summary CIP is seeking a detail-oriented and highly organized Project Manager to support the coordination and administration of customer orders throughout the manufacturing process. This role works closely with Sales Team, Engineering, Production, Shipping, Installation Providers, Finance, and customers to ensure orders are accurately entered, properly documented, released to production on time, and communicated effectively from initial sale through shipment. The Project Manager will maintain the sales order backlog, coordinate drawing and engineering requests, manage order revisions and change orders, monitor production readiness, and provide customers and internal teams with timely project updates. Candidates must have prior administrative experience in a manufacturing or construction environment. Key Responsibilities Prepare, review, and process sales orders submitted by the Sales team. Accurately enter new orders, revisions, and change orders into CIP's internal system while maintaining strong quality-control standards. Maintain and update the sales order backlog to ensure current order status, production requirements, customer specifications, and expected ship dates are accurately reflected. Track and monitor projects from order entry through production, shipment, and installation coordination. Communicate directly with customers regarding order status, outstanding requirements, drawing approvals, production schedules, and anticipated ship dates. Coordinate the exchange, review, and tracking of customer drawings, approval documents, and Professional Engineer (PE) stamps when required. Assign drawing requests, revisions, and change orders to the Engineering team and monitor progress to support timely order release. Complete production-order documentation and coordinate all required tasks needed to release equipment into production. Maintain order details based on approved customer specifications, sales commitments, engineering requirements, and approved changes. Notify installation providers of sold installation projects and coordinate installation-related shipping needs with the installation provider and CIP management. Coordinate product shipping details with customers, including delivery requirements, site contacts, shipping readiness, and shipment-date updates. Communicate projected and revised ship dates internally with management and externally with customers, dealers, installers, and other applicable parties. Respond to customer inquiries for orders that have not yet shipped and provide clear, professional status updates. Request, collect, and provide the Finance team with all required customer documentation needed for credit approval, invoicing, deposit tracking, and other financial processing. Coordinate and communicate monetary changes resulting from approved change orders, including revised pricing, deposits, and billing requirements. Maintain organized electronic records for sales orders, drawings, approvals, change orders, shipping information, correspondence, and other project documentation. Support continuous improvement of project coordination, order-entry, communication, and documentation processes. Qualifications and Requirements Associate degree or higher preferred.
Required:
Administrative experience in a manufacturing or construction environment . Experience coordinating projects, production orders, construction-related activities, or material-handling equipment is strongly preferred. Project management or project coordination experience is a plus. Stable work history with demonstrated reliability, professionalism, and job longevity. Proficiency with Microsoft Office applications, including Outlook, Excel, Word, and Teams. Experience with ERP/MRP systems, CRM software preferred. Strong attention to detail and the ability to maintain accuracy while managing multiple active orders and deadlines. Excellent written and verbal communication skills. Strong organizational, prioritization, and multitasking abilities. Exceptional customer-service skills and the ability to communicate professionally with customers, sales representatives, vendors, installers, and internal departments. Ability to work independently while collaborating effectively with cross-functional teams. Comfortable working in a fast-paced, deadline-driven manufacturing environment. What Success Looks Like The successful Manufacturing Project Manager will ensure that customer orders move efficiently from sale to shipment by maintaining accurate information, proactively identifying outstanding requirements, coordinating internal resources, and providing consistent communication to both customers and internal stakeholders. This individual will play an important role in supporting CIP's reputation for dependable products, responsive service, and successful project execution.
