This position is responsible for managing multiple projects in parallel, coordinating cross-functional teams and external vendors, and ensuring projects are delivered on schedule, within budget, and according to client and quality requirements. The ideal candidate brings extensive experience in the themed entertainment industry, strong project scheduling and planning expertise, and the ability to manage multiple workstreams, vendors, and stakeholders simultaneously. The Project Manager will serve as a central point of coordination between clients, internal engineering and production teams, suppliers, contractors, and other project partners. This role requires a mastery of project scheduling, including developing, maintaining, and communicating detailed project schedules using Microsoft Project, identifying dependencies and critical paths, tracking progress, and proactively addressing schedule risks.
Duties & Responsibilities Project Management:
Lead complex themed entertainment, immersive technology, engineering, and product development projects from concept through installation and final delivery, ensuring project objectives, scope, budget, schedule, and quality requirements are met.
Multi-Project Management:
Manage multiple projects and workstreams simultaneously, balancing priorities, resources, deadlines, client requirements, and project risks across parallel engagements.
Project Scheduling:
Develop, maintain, and continuously update detailed project schedules using Microsoft Project. Establish milestones, dependencies, critical paths, resource requirements, and deadlines, and proactively identify and resolve scheduling conflicts.
Schedule Control:
Monitor project progress against approved schedules, identify delays and schedule risks, develop recovery plans, and communicate schedule impacts to internal and external stakeholders.
Client Communication:
Serve as a primary point of contact for clients, providing clear updates on project status, schedules, deliverables, risks, changes, and next steps.
Vendor & Contractor Management:
Manage multiple vendors, contractors, suppliers, and external partners simultaneously. Establish expectations, monitor deliverables, coordinate schedules, and ensure vendors meet project requirements, deadlines, and quality standards.
Cross-Functional Leadership:
Coordinate engineering, design, production, manufacturing, software, AV, supply chain, and other teams to ensure work progresses according to the project plan.
Resource Management:
Coordinate staffing, procurement, materials, equipment, and other resources required to support multiple projects while maintaining project priorities and constraints.
Budget Management:
Monitor project budgets, commitments, procurement costs, and changes to help ensure projects remain financially aligned with approved plans.
Risk & Issue Management:
Identify project risks, dependencies, and potential delays early; establish mitigation plans and coordinate timely resolution of issues.
Change Management:
Track and manage changes to project scope, schedules, resources, and deliverables, ensuring impacts are documented and communicated appropriately.
On-Site Deployment:
Travel domestically and internationally as required to support project execution, installation, commissioning, troubleshooting, and client engagements.
Project Documentation:
Maintain accurate project schedules, status reports, meeting notes, action items, vendor information, project documentation, and other records throughout the project lifecycle.
Process Improvement:
Identify opportunities to improve project management processes, scheduling practices, communication, and coordination across departments.
Client Relationship Management:
Build and maintain strong professional relationships with clients and project partners through consistent communication, accountability, and proactive problem-solving. Necessary Skills & Knowledge Themed Entertainment & Technical Knowledge Extensive knowledge of the themed entertainment industry , including experience delivering attractions, immersive experiences, installations, or related entertainment projects. Understanding of engineering and technical disciplines relevant to themed entertainment, including electrical, mechanical, AV systems, interactive technology, software, controls, and/or embedded systems. Familiarity with manufacturing and production processes such as circuit board assembly, plastic injection molding, 3D printing, CNC, thermoforming, metal stamping, resin casting, and related fabrication processes. Understanding of installation, commissioning, integration, and on-site deployment of complex technical systems. Project Management & Scheduling Skills Expert-level project scheduling and planning skills , with the ability to build, maintain, and manage detailed project schedules. Advanced proficiency with Microsoft Project Scheduling ; ability to manage dependencies, critical paths, milestones, resources, baselines, and schedule changes. Proven ability to manage multiple complex projects simultaneously while maintaining visibility into priorities, deadlines, dependencies, and resource constraints. Strong understanding of project lifecycle management, including scope, schedule, budget, resources, procurement, risk, quality, and change management. Strong vendor and contractor management skills, including coordinating multiple external partners across different schedules and deliverables. Ability to identify schedule risks and dependencies early and develop practical recovery plans. Strong organizational skills and attention to detail, particularly when managing complex project information and competing priorities. Excellent communication and stakeholder management skills. Ability to work effectively with technical, creative, manufacturing, production, and client-facing teams. Project Management Tools Advanced proficiency in Microsoft Project Scheduling is required. Experience with additional project management and collaboration tools such as Smartsheet, JIRA, Asana, Trello, ERP, PLM, or similar systems is preferred.
Requirements Experience:
Minimum of 10 years of professional experience in Themed Entertainment , attraction development, immersive experiences, live entertainment technology, or a closely related industry.
Project Management Experience:
Significant experience independently managing complex, multi-disciplinary projects from planning through delivery and installation.
Multi-Project Experience:
Demonstrated experience managing multiple projects concurrently , including competing deadlines, resources, vendors, and client requirements.
Scheduling Experience:
Demonstrated expertise in developing and managing detailed project schedules using Microsoft Project .
Vendor Management:
Proven experience managing multiple vendors, contractors, suppliers, and external partners in parallel.
Education:
Bachelor's degree in engineering, technology, project management, business, or a related field preferred.
Certifications:
PMP, PRINCE2, or other recognized project management certification preferred.
Travel:
Willingness and ability to travel domestically and internationally for project meetings, client engagements, installations, and other project requirements.
Work Environment:
Ability to work on-site at manufacturing facilities, client locations, and attraction/venue installation sites, including environments where PPE may be required.
Time Zones:
Ability to coordinate projects involving teams, vendors, and clients across multiple time zones. Working Environment Primarily office-based with regular interaction with engineering, design, production, manufacturing, supply chain, clients, vendors, and external project partners. The role may require domestic and international travel and extended periods on-site during major installation, integration, commissioning, or project delivery phases. The Project Manager may work in manufacturing, construction, fabrication, or attraction environments where PPE and other site-specific safety requirements apply.
