The ideal candidate is hard-working, dependable, and comfortable working with senior staff on a variety of tasks with detail and discretion. Legal administrative and or Paralegal background preferred.
Responsibilities:
- Provide first point of contact for clients
- Determine client needs, budget, and time constraints
- Communicate with clients regarding materials needed and work performed
- Schedule engineering inspections, client meetings, depositions, court dates, and presentations
- Manage calendar and engineering tasks to ensure staff efficiency
- Review and manage files to ensure they contain materials needed to render engineering opinions
- Track billable time on projects for all staff
- Provide administrative support for the office to include answering phones, filing, and reviewing file materials Requirements
- Excellent written and verbal communication skills; Above-average interpersonal skills
- Ability to handle confidential information with discretion
- High level of professionalism; Diplomatic etiquette
- Exceptional scheduling and/or prioritizing skills with strong proficiency with data entry
- Attention to detail and consistent accuracy in work
- Strong proficiency with computers, database entry, full Microsoft Office suite, email, Adobe, project management software (Clio Manage), ShareFile, Dropbox, and internet
- Passion for providing extraordinary customer service; Company brand ambassador
- Bachelor's Degree from an accredited college or university
- Legal authorization to work in the United States without employer sponsorship Skills Honesty and integrity Excellent organizational and time management skills Clear and diplomatic communication with clients and colleagues Highly assertive and able to deal with people at all levels Ability to read, analyze, and interpret data and information and apply appropriate judgment Ability to work well under pressure and independently Ability to balance multiple assignments and adapt to a changing, fast-paced work environment Ability to work with and through people to establish goals, objectives, and action plans Open and willing to learn new processes Work environment • Fast-paced office environment: flexibility to working schedules may be required due to changing business demands.
