Job Description

The Electrical Operations Coordinator is responsible for managing the daily administrative and operational flow of the Electrical Department from initial customer contact through final job completion and billing. This position serves as the central point of coordination between customers, electricians, management, and the office. The coordinator is responsible for maintaining an accurate dispatch board, keeping technicians productive, tracking active electrical projects, coordinating permitting and scheduling, ensuring tickets are properly documented and closed, and identifying anything that requires follow-up or billing. The goal of this position is simple: every call is accounted for, every project is tracked, every technician knows where they need to be, and every completed job is ready to be billed and closed. Core Responsibilities Dispatch & Daily Board Management Own and maintain the Electrical Department dispatch board throughout the day. Book and schedule incoming electrical service calls, estimates, projects, inspections, and follow-up visits. Monitor technician availability, job progress, drive time, and schedule changes. Ensure technicians are dispatched promptly and correctly. Maintain communication with technicians regarding schedule changes, job status, additional work, and next calls. Ensure completed jobs are properly closed before the end of the day. Maintain the future electrical schedule and identify open capacity before it becomes a scheduling problem. Work proactively to keep the electrical schedule appropriately filled. Outbound & Schedule Development Perform and/or coordinate outbound calling to generate electrical opportunities. Schedule electrical safety checks/inspections with existing customers. Follow up on unsold electrical estimates and outstanding customer opportunities. Identify gaps in the future schedule and proactively work to fill them. Coordinate return visits, parts-related appointments, inspections, project work, and customer follow-ups. Technician Debrief & Ticket Accountability Ensure every electrical technician is debriefed at the completion of each job. Review tickets for accurate job notes, photos, materials, labor, pricing, signatures, payment information, and required documentation. Verify sold work and recommendations are properly documented. Identify tickets that cannot be closed or billed and immediately determine what is missing. Ensure open tickets are actively followed through rather than remaining unresolved. Escalate pricing, customer, technician, or operational issues to management when necessary. Electrical Project Coordination Maintain a daily electrical project log showing every active project and its current status. Track each project from sale through completion and final billing. Know what has been completed, what is scheduled next, what materials or information are outstanding, what inspections are pending, what needs customer follow-up, and what is ready to invoice. Coordinate project scheduling between customers, electricians, inspectors, subcontractors, utilities, suppliers, and management as applicable. Follow up on outstanding project requirements so jobs continue moving forward. Immediately identify stalled projects and communicate what is preventing completion. Permitting & Inspections Coordinate permit applications and required documentation for electrical projects. Maintain an accurate permit log. Track permit status from submission through approval and final inspection. Schedule required inspections and communicate inspection dates with technicians and customers. Track failed inspections and ensure corrections and re-inspections are scheduled promptly. Ensure permits are properly closed upon project completion. Invoicing & Billing Readiness Review completed electrical tickets daily to ensure they are ready for invoicing. Verify pricing, payments, financing, deposits, change orders, completed work, and required documentation. Maintain visibility of work completed but not yet billed . Identify outstanding balances and jobs requiring additional action before invoicing. Coordinate with accounting/management to ensure completed electrical revenue is billed promptly. Prevent completed projects from sitting open unnecessarily. Customer Communication Serve as a consistent point of contact for electrical project customers. Provide scheduling, permitting, inspection, and project-status updates. Communicate delays or changes proactively rather than waiting for customers to call. Document customer communication in ServiceTitan. Coordinate customer concerns with the appropriate manager and ensure promised follow-up occurs. Minimum Qualifications Minimum 1 year of electrical industry experience required. Experience may be in electrical dispatch, electrical service management/coordination, or hands-on field electrical work . Minimum 1 year of ServiceTitan experience preferred , with working knowledge of scheduling, dispatching, job management, customer accounts, notes, tags, invoices, and follow-up processes. Must understand basic electrical terminology, service calls, estimates, projects, parts/materials, permitting, and inspections . Strong organizational skills with the ability to manage multiple technicians, projects, open jobs, and priorities simultaneously. Strong attention to detail and ability to ensure tickets contain accurate notes, photos, job information, payments, and required documentation. Comfortable communicating professionally with customers, technicians, management, inspectors, and permitting departments. Must be proactive and able to identify incomplete jobs, scheduling issues, missing information, and required follow-up without waiting to be directed. Ability to maintain and update electrical project tracking , including job status, scheduling, permits, inspections, billing, customer follow-up, and next actions. Must be dependable, accountable, and comfortable taking ownership of the Electrical Department's daily workflow. Strong computer skills and ability to learn and work within multiple office and field-service systems.
