The Role We are hiring a Lighting Quotations & Project Coordinator to manage the quote-to-order process for commercial, sports, and solar lighting projects. You will convert inbound leads, bid documents, construction plans, and contractor requests into accurate, competitive proposals. You will also coordinate with sales, engineering, purchasing, production, and shipping to keep each project moving from initial inquiry through final delivery. This is a fast-paced, execution-focused role with a direct impact on revenue, gross margin, customer satisfaction, and project conversion rates. Projects typically range from $10,000 to more than $2 million across three primary business segments: Large commercial and municipal lighting projects Sports lighting and retrofit projects Off-grid solar lighting projects Key ResponsibilitiesPrepare Accurate Quotations Review project plans, specifications, RFQs, bid documents, and customer requests. Prepare accurate quotations, sales orders, bid packages, and supporting documentation. Confirm pricing, product configuration, lead times, freight, and commercial terms before release. Maintain a high level of speed and accuracy across multiple active projects. Gather Technical Project Information Identify and resolve missing information before preparing a proposal. Confirm input voltage, pole height, mounting method, fixture quantity, beam angle, finish color, lighting targets, and site conditions. Research public bid documents, drawings, specifications, and project requirements. Communicate directly with customers, contractors, engineers, and sales representatives to clarify technical details. Coordinate With Engineering Work with application engineering to develop photometric layouts, aiming diagrams, fixture schedules, and technical packages. Organize the information required for fast and accurate photometric design. Confirm that proposed products meet the project's performance and compliance requirements. Manage Freight and Logistics Pricing Calculate freight, delivery, packaging, and logistics costs. Coordinate shipment requirements, delivery schedules, and job-site limitations. Protect project gross margin by confirming all logistics costs before finalizing quotations. Follow Up on Open Opportunities Track every active quotation, bid, and proposal. Maintain a consistent and documented follow-up schedule. Request project updates, identify decision timelines, and surface unresolved issues. Support the sales team in moving qualified opportunities toward purchase orders. Coordinate Projects From Quote to Shipment Maintain accurate project records in the CRM. Coordinate with purchasing, production, accounting, warehouse, and shipping teams. Monitor order status, lead times, approvals, and delivery deadlines.
