Job Description

Position Overview International Motors is seeking a highly organized and proactive Project Coordinator to support Project NorthStar, a multi-year SAP transformation initiative. This individual will partner closely with IT Project Managers, business stakeholders, and PwC (System Integrator) to coordinate project activities, manage large-scale meeting scheduling, support project reporting, and ensure effective communication across global teams. This role is ideal for someone with experience supporting enterprise-level technology projects, PMOs, ERP implementations, or digital transformation initiatives who excels in organization, stakeholder coordination, and managing high volumes of activity in a fast-paced environment. Key Responsibilities Coordinate and manage a high volume of meetings and workshops across global project teams using Microsoft Outlook and Teams. Proactively schedule project meetings up to four weeks in advance and manage calendar conflicts across stakeholder groups. Serve as a key liaison between project managers, business leaders, vendors, and project team members. Support project planning, scheduling, documentation, and status reporting activities. Assist with risk, issue, action item, and dependency tracking across project workstreams. Support PMO governance activities, including project documentation, reporting, and executive communications. Assist with onboarding and offboarding project resources, coordinating vendor access, and supporting project logistics. Maintain project schedules and dashboards using project management tools including Microsoft Project, Jira, Smartsheet, and related platforms. Support project financial activities including purchase order tracking, invoicing coordination, budget updates, and forecasting activities. Partner with project leadership to reduce administrative burden and improve execution efficiency. Required Qualifications 3+ years of Project Coordinator, PMO Analyst, Project Management, or related experience. Experience supporting large-scale IT, ERP transformation projects. Advanced proficiency with Microsoft Outlook, Microsoft Teams, Excel, PowerPoint, and Word. Strong meeting coordination and calendar management experience across multiple stakeholder groups. Experience with project management tools such as: Azure DevOps (ADO), Microsoft calendar and excel. Experience with managing high volume access requests. Experience with managing SAP reporting and leadership reporting experience. Excellent organizational skills with strong attention to detail. Exceptional verbal and written communication abilities. Ability to thrive in a high-volume, fast-paced environment, dynamically changing environments. Preferred Qualifications Experience supporting
SAP S/4HANA
programs. Experience supporting ERP transformations, or enterprise technology initiatives. Deployment support would be great. Familiarity with Azure DevOps or resource allocation tools. Experience with Power BI reporting and dashboard creation. Ideal Background Successful candidates may have experience: Supporting enterprise software implementations from planning through deployment. Coordinating project activities for large consulting organizations or PMOs. Managing high volume scheduling and stakeholder communications and scheduling across multiple workstreams. Supporting transformation initiatives involving SAP, Workday, Microsoft 365, Azure, or other enterprise platforms. Acting as the organizational backbone for project managers by ensuring meetings, reporting, scheduling, and coordination activities remain on track. Must be able to work under a flexible and dynamic work environment Project NorthStar Context Multi-year SAP transformation initiative (cut-over phase) Significant coordination effort across business, IT, and PwC teams. More than 1,200 meetings and working sessions requiring coordination across the program. Primary focus is stakeholder scheduling, project coordination, and PMO support rather than leading project delivery. No meeting minute responsibilities; emphasis is on coordination, logistics, communication, and planning support.
