Job Description
We are seeking a highly organized, proactive Civil Construction Project Coordinator / Assistant to support our project management team and assist with the day-to-day coordination of multiple active civil construction projects. This is not a basic administrative position. We need someone who can track deadlines, manage construction documentation, follow up on outstanding items, and take ownership of tasks without constant direction. Responsibilities Create, submit, log, and track RFIs through response and closeout Prepare, submit, and track submittals and approvals Maintain RFI, submittal, change order, and other project tracking logs Track outstanding information and follow up with engineers, owners, subcontractors, suppliers, and project personnel Call in and manage 811 utility locate tickets, including updates, remarks, and expirations Assist with change orders, pricing requests, and project documentation Assist with AIA pay applications and monthly billing including requesting and tracking conditional and unconditional lien waivers Organize packing slips, delivery tickets, material tickets, receipts, and other field paperwork Identify missing documentation or invoice discrepancies and follow up for corrections Track and organize T&M tickets and supporting documentation Manage company fuel cards, fuel receipts, and transaction documentation along with monthly invoicing Assist with material and delivery tracking Maintain organized electronic project files Assist with project schedules, meeting notes, and action-item tracking Draft professional emails, RFIs, letters, and other project correspondence Provide administrative and executive support to Project Managers as needed Assist with jobsite photos, weekly meetings, erosion control reporting. Qualifications Construction experience strongly preferred Civil/site construction experience is a major plus Knowledge of earthwork, storm drainage, sanitary sewer, water, utilities, paving, and site development is preferred Ability to read and understand civil construction plans and specifications is highly preferred Experience with RFIs, submittals, change orders, pay applications, lien waivers, or construction document control Familiarity with 811 utility locate tickets is a plus Strong Microsoft Excel, Word, Outlook, and PDF skills Construction management/accounting software experience is a plus Strong written and verbal communication skills Excellent organization and attention to detail Ability to manage multiple projects and deadlines simultaneously Must be dependable, self-motivated, and comfortable working independently
