Role Description The Administrative Assistant Project Coordinator serves as a trusted operational partner to leadership, providing high-level administrative support while coordinating projects, improving processes, leveraging technology, and contributing to the organization's continued growth and success. This is not a traditional administrative role. We're intentionally looking for someone who enjoys variety in their workday, thrives in collaborative environments, and gets excited about solving problems, improving efficiencies, and continuously learning. No two days in this position will look exactly the same. The Administrative Assistant Project Coordinator will work closely with leadership on a variety of operational initiatives and special projects. Some days may involve coordinating meetings, preparing reports, and providing administrative support, while others may include building workflows, developing Excel trackers, researching solutions, improving processes, supporting technology implementations, or contributing to company-wide initiatives. We're looking for someone who isn't intimidated by learning something new in fact, they're energized by it. The ideal candidate is curious, proactive, highly organized, tech-savvy, and comfortable wearing multiple hats in a growing organization. Key Responsibilities Administrative & Leadership Support
- Provide high-level administrative and operational support to leadership.
- Coordinate meetings, calendars, agendas, and action items as needed.
- Prepare correspondence, presentations, reports, and other business documents.
- Maintain confidential and sensitive information with professionalism and discretion.
- Assist with special projects and provide cross-functional support as business needs evolve. Project Coordination & Operations
- Coordinate operational projects and initiatives across departments.
- Assist with planning, organizing, and implementing company-wide initiatives and process improvements.
- Develop and maintain reports, trackers, and operational documentation.
- Monitor project timelines, deliverables, and follow-up items to ensure successful execution.
- Collaborate with departments across the organization to support business objectives and initiatives. Technology, Automation & Process Improvement
- Identify opportunities to improve workflows, communication, and operational efficiencies.
- Develop and maintain Excel-based reports, trackers, and data-driven solutions.
- Assist with the creation and maintenance of SharePoint sites, lists, and organizational resources.
- Support the development and implementation of automated workflows and business processes utilizing Microsoft 365 applications and other business technologies.
- Research and recommend technology solutions that improve organizational effectiveness and efficiency.
- Assist with technology implementations, software adoption initiatives, and process improvements across departments.
- Continuously identify opportunities to create smarter, more efficient ways of accomplishing operational tasks. Qualifications Required Qualifications
- Three (3) or more years of experience in administrative support, project coordination, operations, office management, business operations, or a related role.
- Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously.
- Demonstrated ability to work independently, take initiative, and proactively solve problems.
- Strong written and verbal communication skills with a high level of professionalism and attention to detail.
- Strong proficiency with Microsoft 365 applications, including Outlook, Excel, Word, Teams, and PowerPoint.
- Demonstrated ability to quickly learn and adapt to new technologies, systems, and software platforms.
- Ability to maintain confidentiality and exercise sound judgment when working with sensitive information.
- Comfortable working within an evolving environment where priorities may shift quickly.
