ABOUT US

Facilities Resource Group specializes in the nationwide installation and service of industry-leading commercial tankless water heating systems. We are looking for a project support coordinator to join our Operations Support team.

SUMMARY:

The Project Support Coordinator supports Operations, Technical Support, Installation and Service by coordinating and following up on projects

  • creating, monitoring and verifying work orders for projects and services, coordinating pre-installation tasks, maintaining communication with internal teams, subcontractors, and customers.

This role assists with project documentation, financial analysis, review of work-in-progress (WIP) reports and investigation of subcontractor cost overages. This is a role that requires a sense of urgency and the ability to multi-task, as well as accuracy, detail orientation, strong analytical aptitude and excellent written and verbal communication skills. Ideal candidates will have experience working in the construction or trades industries.

ESSENTIAL DUTIES

Research and contact subcontractors to discuss projects, services and invoices; Answer, make and transfer calls to/from customers, subcontractors and technicians; Demonstrate strong attention to detail and high level of accuracy in handling invoice, finance and/or time-based information and scheduling; Perform administrative review of project quotes and communicate issues timely; Upload invoices, contracts and other relevant documentation to customer files; Review and investigate subcontractor invoices received with totals over the Not To Exceed ("NTE") threshold, Initiating timely follow up to subcontractors to investigate and address overages or revisions required; Communicate status updates on quote approvals; Make and take calls regarding Service Orders for installs and provide timely, proactive updates to directors when questions or concerns arise; Help to create and plan projects Prepare pre-installation checklists and punch lists Prepare Service Sales Orders, verifying accuracy and distribute; Prepare and verify accuracy of Service Orders and update status; Run and distribute WIP Prepaid Accrual Reports; Create, analyze and distribute reports including status reports and customer invoice status reports; information contained therein to create and send customer invoices; Other shared team duties, as requested

WORK ENVIRONMENT / PHYSICAL REQUIREMENTS

Works in a well-lit, well-ventilated, clean and modern office space; Spends long periods of time in a stationary position, typically seated at a desk, working from a computer or laptop;

ESSENTIAL QUALIFICATIONS

HS Diploma or equivalent; MUST be at least 21, possess a valid DL and be authorized to work in the US; MUST have 2-4 years of recent related work experience

  • ideally, project coordination, project planning or project management; MUST have 2-4 years of experience using NetSuite (Oracle) ERP or a similar ERP; Demonstrated proficiency with MS Office with strong grasp of Excel ; Able to apply sense of urgency, juggle multiple open projects, periodically shift priorities as requested, to ensure needs of the business and customer are met; Excellent written and verbal communication•including ability to work collaboratively and as part of a cross-functional team; Ideal candidates possess a natural curiosity for fact finding, have a knack for analysis and take a genuine interest in creative problem solving; Completion of onboarding, background, drug screen required
