- Executes the repeatable, procedural work that builds and runs a case — setup, notice production, website and email build, mail-file preparation, and reporting — reliably and to standard, under the direction of the Project Managers.
- Works from established SOPs, checklists, and templates; recognizes when something falls outside the routine and escalates it.
- Does not interpret settlement agreements or determine claim validity — that judgment sits with the Project Manager; the Coordinator delivers the execution the case requires.
- Ultimately, this role is part of Atticus' strategic execution to "make our clients look good". Key Responsibilities Case Setup, Production, and Closeout
- Complete project setup in the case-management system and enter project page details, dates, and references from the sources provided.
- Format and lay out notice packets, coordinate translations, prepare and finalize materials for print, and run internal print jobs per SOP.
- Build project websites and email (URL, content in WordPress, analytics, mailbox setup and testing) from established procedures and approved content.
- At closeout, execute the project closure checklist — confirming reconciliations, requesting account, website, phone, and email closures, and archiving files — as the Responsible owner of the tasks, with the Project Manager accountable for the outcome.
- Track closeout tasks against the internal closure timeline and flag anything that stalls, so cases close on schedule. Reporting
- Prepare and deliver the routine, repeatable weekly project status reports from templates.
- Prepare the slower-cadence closeout reporting off the project closure checklist. Mail, Data, and Quality
- Prepare final mail files, save source data to the correct locations, and quality-check claim submissions per SOP.
- Handle and process physical case mail accurately and on schedule. Qualifications Required
- 1-2 years of experience in an administrative, legal-support, or customer-facing role.
- Strong attention to detail and consistent follow-through on repeatable, deadline-driven processes.
- Comfort with MS Office and web-based systems, and clear, professional written communication. What Will Set You Apart
- Exposure to settlement administration or legal services.
- Familiarity with claims-administration platforms, WordPress, or similar tools. Skills and Competencies Expectations are anchored in the firm's core values — Smart, Accountable, Better — at the level appropriate to this role. Smart
- Identifies that something is wrong and escalates with useful detail; applies known solutions to recognizable problems and asks when unsure.
- Clear and professional in writing on defined topics; responsive within expected timeframes; escalates questions that go beyond their knowledge. Accountable
- Accurate when procedures are followed; knows and follows the rules that apply to the work; handles class member data correctly without prompting and responds to correction without repeating the error.
- Meets assigned deadlines and asks for help before missing one; keeps their own work organized and traceable; does what they said they would do. Better
- Notices friction and rework and raises it; suggests improvements to their own tasks.
- Shares information readily, accepts and acts on feedback, and participates in cross-training as a learner. Physical Demands and Work Environment
- This is an in-person role based in the Mendota Heights, MN office.
- Frequently moves about the office and handles physical case mail, including lifting and moving totes of mail weighing up to 50 pounds.
- Regularly operates a computer and other standard office equipment for extended periods.
