POSITION SUMMARY
The Sales Team Administrator provides administrative and project support to the sales team — managing order documentation, project records, CRM data, and manufacturer communications so projects move smoothly from quote through delivery.
KEY RESPONSIBILITIES
Receive, organize, and track manufacturer order acknowledgments through delivery, monitoring lead times and shipment status Process order changes, including address updates, expedited production requests, and manufacturer revisions Assist with returns, credits, RGA requests, and lien waiver / project compliance documentation Create, organize, and distribute submittals, O&M manuals, and closeout documentation Collect and maintain manufacturer warranty documentation and organized electronic project files Maintain and update CRM records, including customer contacts, project details, and sales activity Coordinate sample requests and maintain inventory records for sales and manufacturer materials Identify and implement improvements to documentation, CRM, and order-tracking workflows
QUALIFICATIONS
Required Familiarity with Excel, Word, Outlook, and other Microsoft software products Ability to prioritize and manage multiple projects efficiently Detail-oriented with strong written and verbal communication skills Strong project and time management skills Preferred 4-year or 2-year associate's degree Familiarity with Salesforce Desire and flexibility to learn new tools and processes
WHAT SUCCESS LOOKS LIKE
Order acknowledgments, shipment updates, and project documentation are processed accurately and on time CRM and customer data remain complete, organized, and reliable Submittals, O&M manuals, warranty documents, and closeout packages are delivered efficiently Project information is easy to access, current, and trusted across the organization Sales team members spend less time on administrative tasks and more time supporting customers and generating revenue
