Job Description

Education:
  • High school diploma or equivalent
Required Qualifications:
  • High degree of self-motivation, independence, and calm under pressure during live event operations and tight project deadlines.
  • Exceptional attention to detail in tracking complex logistical schedules and multi-party commitments.
  • Flexible, solution-oriented approach when dealing with changing conditions or shifting scope.
  • Event & Project Management:
    5+ years of dedicated project management experience.
  • Workgroup & Stakeholder Leadership:
    Demonstrated success in convening and guiding committees or workgroups of technical experts and multidisciplinary partners toward shared project deliverables.
  • Transparent Tracking Systems:
    Proven ability to build clear, accessible, and transparent progress-tracking systems and dashboards that provide real-time visibility into project status, milestones, and deliverable completion for leadership and team members.
  • Software Proficiency:
    Advanced proficiency in Smartsheet and Microsoft Excel (including dynamic dashboards, automated templates, and cross-project reporting tools) to maintain clear project tracking.
  • Productivity & Collaboration Suites:
    Expertise in Microsoft Office 365 (Teams, SharePoint, Word, PowerPoint) for centralized documentation, cross-functional collaboration, and document management.
  • Strong written communication skills with experience writing formal reports, technical documentation, public-facing reports, and analytical summaries.
  • Ability to communicate effectively with project leadership and staff. Preferred Qualifications
  • Experience or knowledge of public health, emergency management, healthcare systems, or public sector agencies.
  • Experience in organizing and executing large multi-day conferences, symposiums, or summits.
  • Experience working with local public health and Tribal health.
Job Responsibilities:
  • Master Timeline & Schedule Management:
    Build, maintain, and monitor dynamic master timelines and project tracking across multiple concurrent projects.
  • Cross-Functional Project Coordination:
    Act as the central point of contact for project stakeholders, organizing workflows, tracking deliverable dependencies, and facilitating regular check-ins and status updates.
  • Risk & Mitigation Tracking:
    Identify potential bottlenecks, off-schedule tasks, or resource constraints early; develop proactive risk mitigation strategies and escalate issues as necessary.
  • Deliverable & Milestone Tracking:
    Establish milestone tracking mechanisms to ensure all project deliverables (reports, grant requirements, contracts) are met on time and aligned with quality standards.
  • Meeting Facilitation & Action Tracking:
    Plan, facilitate, and summarize project meetings, driving action-item follow-through and holding team members accountable to target deadlines.
  • Documentation & Reporting:
    Maintain centralized project documentation repositories, drafting regular executive status reports, progress updates, and end-of-project closeout summaries.
  • Workgroup Facilitation & SME Engagement:
    Convene, structure, and co-lead advisory workgroups composed of internal and external Subject Matter Experts (SMEs) to develop conference themes, session content, agendas, and educational objectives.

Cross-Functional Team Coordination:
Serve as the central point of contact between internal leadership, external vendor representatives, conference steering committees, and partner organizations.
Job Purpose:
The contractor will be responsible for creating, tracking, and maintaining master project schedules, monitoring milestone progress, facilitating team accountability, and aligning resources across overlapping workstreams. This position requires a seasoned project manager capable of managing end-to-end logistics for large-scale events and multi-day partner convenings, facilitating interdisciplinary workgroups, and monitoring contract deliverables with venues, keynotes, facilitators, and service vendors. The ideal candidate will balance rigorous timeline management with hands-on coordination to ensure all milestones, vendor obligations, and programmatic deliverables are executed seamlessly on time and within scope.
