As EBI's next Project Support Coordinator , you'll be the cornerstone between Sales, Estimating, Operations, and our clients — keeping proposals, bids, and project documentation running smoothly from first inquiry to final handoff. In this role, you'll wear many hats: proposal organizer, client liaison, data wrangler, meeting scheduler, and process improver. You'll help ensure our bids go out on time, our contracts are airtight, and our pipeline stays accurate. And when the unexpected pops up (as it often does in the power generation industry), you'll be ready to help the team pivot without missing a beat.
WHAT YOU'LL DO
Keep Proposals on Track Coordinate meetings, gather inputs, and manage timelines for RFQ/bid/proposal opportunities Draft, edit, and proof client proposals; ensure submissions meet deadlines Calculate estimates from manpower/material/equipment breakdowns provided by Operations Serve as a key contributor to proposal development, including leading and training on calculation activities for new and revised proposals Evaluate union hall information to ensure current and accurate location-specific benefits, scale details, holiday details, and other project-specific information are reflected in proposals and estimates Be the Client Connection Act as the liaison between clients, Sales, and Operations Schedule Q&A meetings, follow up on submittals, and maintain regular touchpoints Stay on Top of the Details Track proposal progress and update CRM with accurate, real-time data Maintain bid packets, project numbers, and job board accuracy Manage and update supplier registration data Gather, organize, and maintain proposal information and supporting documentation Support Business Development & Change Management Schedule and lead (or act as backup to lead) Job Award meetings Draft, review, and submit change orders in collaboration with Estimating and Project Development Calculate estimates using updated project information to support change order generation throughout the project lifecycle Review contracts and purchase orders, identify potential risks, and coordinate edits with management Support contract negotiation and close-out as needed Champion Process Improvement Recommend refinements to proposal templates, workflows, and internal processes Participate in
ISO 9001
initiatives, internal audits, and risk assessments Develop and update work instructions and identify opportunities to improve the proposal and project development process
WHAT YOU BRING TO THE TABLE 2-4
years post-secondary education or 5+ years relevant experience Strong Microsoft Office skills (Word, Excel, Outlook), SharePoint, and CRM tools Exceptional organizational and communication skills — verbal and written Ability to manage multiple priorities and work with cross-functional teams Experience drafting proposals and reviewing contracts High attention to detail and commitment to confidentiality Professional, diplomatic approach to both internal and client-facing interactions
