Rapid Mitigation & Restoration Services is looking for an organized, dependable, and proactive Administrative & Project Coordinator to join our growing team. This role will support the day-to-day administrative and project coordination needs of our mitigation and restoration company. The ideal candidate is comfortable working in a fast-paced environment, managing multiple jobs at once, communicating with customers and vendors, and keeping projects organized from start to finish. Prior experience in construction, restoration, contracting, property services, or a similar project-based industry is required. Applicants should have previous experience working in an administrative, project coordination, office management, or similar support role. QuickBooks experience is strongly preferred.
Responsibilities may include:
New customer intake and project setup Scheduling inspections, crews, subcontractors, and appointments Customer, vendor, subcontractor, and insurance adjuster communication Maintaining job files, contracts, estimates, invoices, photos, and project documentation Tracking project status, deadlines, approvals, and outstanding items Entering and tracking bills, expenses, invoices, and payments in QuickBooks Assigning expenses and vendor costs to the correct customer or project Assisting with accounts payable and accounts receivable Collecting W-9s, certificates of insurance, invoices, and other vendor paperwork Helping project managers coordinate materials, schedules, and job progress Following up on outstanding invoices, documents, and customer needs Keeping our project management system updated and organized General office and administrative support We are looking for someone who is detail-oriented, communicates well, follows through, and can stay organized while handling multiple active projects. The right person should be comfortable taking initiative and working independently without constant direction.
Required Experience:
Previous administrative or project coordination experience Experience in construction, restoration, contracting, property services, or a similar industry Strong computer and organizational skills Experience handling customer, vendor, or subcontractor communication

QuickBooks Insurance restoration or claims Job costing Project management software Accounts payable/accounts receivable Scheduling crews or subcontractors Pay is based on experience. Full-time position.
Pay:
$22.00 - $26.00 per hour Expected hours: 40.0 per week
