This is a full-time, primarily on-site role. The Project Coordinator supports our daily operations and client services function, helping establish and reinforce consistency, systems, and processes, and contributing to clarity, momentum, and accountability across every client project and the overall operations of the business.
This is an early-career role:
the Project Coordinator will work alongside and be mentored by our Project Manager to learn GFM's processes and culture. This role supports the coordination engine for the agency, helping ensure that projects move forward efficiently, communication flows clearly, and expectations are executed with precision. By supporting the coordination and administrative layer of internal operations and client service alongside the Project Manager, this role helps free up leadership - particularly the VP of Client Service - to focus on strategy, client relationships, and agency growth. Internally, the role involves supporting project flow, maintaining systems, reporting, and ensuring alignment across teams. Externally, the role supports client communication and scheduling, and helps ensure a professional, organized, and proactive client experience. The individual will report directly to the VP of Client Service, work closely with our Project Manager who will mentor them in GFM's processes and culture, and collaborate with creative teams to ensure seamless execution of all client work and adherence to company systems and processes. Project Coordination & Execution Coordinate the flow of projects through the agency from intake to delivery Ensure all projects are clearly defined, properly documented, and consistently progressing Maintain visibility into timelines, deliverables, and project status across all active work Monitor project progress and proactively identify potential delays or bottlenecks Ensure deadlines are communicated, tracked, and met Assist with procurement of site locations, props, talent as needed for video shoots and other projects Client Communication Support Support the VP of Client Service in managing client communication and follow-ups Schedule and coordinate client meetings, project kickoffs, and feedback sessions Prepare meeting agendas, notes, and recap summaries for clients and internal teams Ensure client requests, feedback, and approvals are clearly documented and communicated Help deliver a proactive, organized, and professional client experience Project Management Systems & Documentation Maintain accurate and up-to-date records in the agency's project management system (Bonsai) Upload and organize project files, notes, timelines, and deliverables Track project milestones, tasks, and completion across teams Assist in preparing project status updates for company Project Review meetings Ensure information is consistently documented and accessible to the appropriate stakeholders Maintain organized and reliable project documentation across all accounts Internal Coordination & Team Alignment Serve as a liaison between client services and creative teams to ensure smooth workflow Assist in preparing project briefs and gathering necessary information for execution Ensure all departments have the information required to meet project expectations Facilitate clear and timely communication across teams Support new hire onboarding processes to help ensure seamless execution Support offboarding processes to help ensure they are completed timely and thoroughly Assist in planning and executing team building events Vendor & Production Coordination Assist in sourcing vendors and coordinating production or installation logistics Track timelines, deliverables, and communication related to external partners Ensure vendor-related work aligns with overall project timelines and expectations Reporting & Administrative Support Prepare project status updates and internal reporting Assist in preparing utilization reports for company leadership Prepare reports for accounting team as necessary Support timely and accurate AR (client billing) entries in CRM (Bonsai) Support timely and accurate AP processing, including purchase approvals in accordance with approved budget and transaction reviews (Rippling Spend) Assist in compiling progress reports for clients Support calendar management, follow-ups, and task tracking related to client service operations Assist with preparation for client meetings, presentations, and events as needed Prepare and maintain company meeting agendas Operational Excellence Ensure no detail falls through the cracks and no team operates without clarity Identify opportunities to improve processes, communication, and workflow efficiency Bring consistency, organization, and accountability to all aspects of project coordination Support the identification, creation, dissemination, and adherence to company SOPs All other duties as assigned Qualifications 1-2 years of experience in project coordination, client services, marketing, or agency operations (recent graduates with internship experience and early-career candidates encouraged to apply) Strong organizational, problem-solving, and time-management skills Ability to manage multiple priorities in a fast-paced, deadline-driven environment Excellent written and verbal communication skills Experience with project management tools (Bonsai or similar) preferred Proficiency in Google Workspace and general workflow tools Bachelor's degree in marketing, business, communications, or related field preferred Reporting Structure This position reports directly to the VP of Client Service and is mentored day-to-day by the Project Manager. This role works closely with the Project Manager, and with client service, creative, and sales teams. Strategic Purpose of This Role This role exists to support the VP of Client Service and Project Manager by assisting with the coordination, documentation, and operational execution of client work. Additionally, by supporting the day-to-day operational functions of the agency, the role allows company leadership to focus on strategy and growth.
