Job Description

Project Coordinator - Sir Speedy Mooresville Sir Speedy Mooresville is looking for a Project Coordinator to join our production team. This is the hub role of our shop. You will own customer jobs from the first phone call or email all the way through production, delivery, and final invoice, working hand in hand with our graphics, production, and install teams to make sure every job goes out right and on time. If you like variety, enjoy talking to customers, and want a job where your organization and follow through directly determine whether the day runs smoothly, this is a good fit. No two days look the same. One call might be a rush banner for a grand opening, the next an event mural install that needs measurements confirmed before anything goes to print. What you'll do: Answer phones and respond to customer emails promptly, and greet walk-in customers with the same level of service. Gather complete job details up front, including product, size, material, quantity, artwork status, and required in-hand date, so nothing gets built on guesswork. Build accurate estimates and job tickets in PrintSmith, and send quotes through PlanProphet. Explain timelines clearly to customers, including when a job qualifies as a rush and what that means for cost. Coordinate handoffs to Graphics, Production, and our Sign Operations team so jobs move through the shop without delay. Track jobs from approval through production, keep customers updated, and manage deposits and payments along the way. Do a final quality check before letting a customer know their job is ready, and handle any redo or complaint situations professionally and quickly. Close out completed jobs, issue invoices, and keep customer records and job files organized. Use good judgment on pricing within company guidelines to keep customers happy while protecting margin. What we're looking for: Someone who is organized, detail oriented, and comfortable juggling several jobs in progress at once without letting things fall through the cracks. Strong communication skills, both on the phone and in writing, with a friendly and professional customer manner. Comfort learning shop software like PrintSmith and PlanProphet. Full training provided, no prior print industry experience required. A team player who can work closely with production, design, and install staff to solve problems as they come up. Basic comfort with numbers, since the role includes estimating, quoting, and applying discounts within set limits. Reliability and a sense of ownership. Once a job has your name on it, you see it through. Print shop, customer service, or account coordination experience is a plus but not required.
