About the Role The Permit Coordinator is responsible for managing the municipal permitting process for HVAC installation projects from application through final close-out. This role works closely with municipalities, inspectors, installation teams, project managers, and internal office staff to ensure permits and inspections are completed accurately and on schedule. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable communicating with municipalities and managing multiple projects at once. Responsibilities Prepare, submit, and track HVAC permit applications with municipalities throughout New Jersey Coordinate required inspections and follow up on inspection results, corrections, and approvals Monitor permit status, fees, expiration dates, and outstanding requirements Communicate with building departments, inspectors, and municipal offices regarding applications and project requirements Ensure all required documentation is accurate and submitted, including equipment information, contracts, plans, and supporting documents Follow up on delayed, rejected, or incomplete applications and resolve issues promptly Maintain accurate permit records and update internal tracking systems Coordinate with installation, sales, and operations teams to ensure permits are obtained before work begins Track projects through final inspection and permit close-out Stay up to date on municipal permitting requirements and procedures Help identify potential permitting issues before they cause delays to the installation schedule Qualifications Prior experience with HVAC, construction permitting, municipal permitting, or administrative/project coordination Experience working with municipalities, building departments, or inspection agencies is a strong plus HVAC, plumbing, electrical, or construction industry experience preferred Strong organizational skills and exceptional attention to detail Ability to manage multiple projects, deadlines, and municipalities simultaneously Strong written and verbal communication skills Comfortable working with online municipal portals, PDFs, Excel, Google Workspace, and job-tracking software Ability to follow up consistently and take ownership of outstanding items Self-motivated, dependable, and comfortable working in a fast-paced environment Benefits Competitive pay based on experience Health, dental, and vision insurance Paid time off Life insurance 401(k) retirement plan Opportunities for advancement in a fast-growing company Stable industry with long-term growth opportunities What We're Looking For We're looking for someone who takes ownership of their work and understands that keeping permits and inspections moving is critical to keeping our installation schedule on track.
