Job Description
Essential Functions 1.
Project Planning and Coordination:
a.Kickoff:
Capture precise meeting notes and disseminate them to all participants post-meeting, encompassing project scope, value propositions, etc. b.Estimate Review:
Scrutinize project drawings, estimates, and leveling sheets for a comprehensive understanding of the project scope. Verify the project's integration into Procore by relevant parties and confirm universal accessibility. Ensure a thorough grasp of project scope, minimizing requests for additional information from estimators after the initial two weeks. c.Schedule:
Evaluate the project schedule meticulously, identifying key milestones. Methodically document any delays in milestone achievement, delineating causal factors and resultant impacts in written form. d.Objectives:
Engage with the General Contractor (GC) and collaborate with the team to delineate project scope and objectives. Ensure congruence between project objectives, client expectations, and contractual stipulations. e.Procurement Oversight:
Solicit competitive quotations from three vendors for all major equipment estimates. Standardize and evaluate all quotations. Present procurement exceeding $15,000 to the president for approval. f.Submittal Management:
Ensure timely submission of all requisite materials and equipment. Basic materials should be submitted within a maximum of three days following task assignment. Major materials and equipment submissions should align with procurement timelines. Maintain a comprehensive submittal log and furnish it to the GC weekly, requesting updates on outstanding items. g.Regulatory Compliance :
Facilitate completion of all essential documentation for BEC permits and ensure payment and issuance to the GC. Validate approval of all Certificate of Insurance (COI) documents by the GC prior to project commencement. 2.Team Leadership and Management:
a.Progress Oversight:
Undertake weekly site visits to monitor project advancement. Engage in discussions with the foreperson to address job-specific requirements and impediments. Administer performance assessments and furnish constructive feedback to team members, nurturing project efficacy. b.Project Coordination:
Participate in all mandated subcontractor meetings unless alternative arrangements are made with the supervisor and foreman. Maintain detailed meeting records for dissemination to management or the project team if necessary. Effectively communicate project objectives and expectations, offering guidance and assistance to team members to cultivate a cohesive and efficient work atmosphere. c.Request for information:
Write, review and submit all RFI's in a timely manner to client with backup support of drawings or associated pictures. If there is a cost or schedule impact for this RFI it should be noted as such. Each PM is required to keep a RFI log and send that to the client on a weekly basis indicating time lapsed without an answer. 3.Budgeting and Cost Control:
a.Change Order Management:
Timely preparation of all change orders is imperative. Each change order submission should include a Bluebeam markup illustrating drawing modifications, a comprehensive estimate detailing cost implication, and a cover page. Prior to submission, each change order undergoes thorough review by the field team, supervisor, and management. The initial creation of change orders by the Project Manager (PM) initiates the review process. Furthermore, every change order must be logged into the Sage system under the designated categories: Submitted, Potential, Void. The PM is mandated to maintain a change order log, which is forwarded to the General Contractor (GC) on a weekly basis, requesting updates on outstanding items. b. Cost toComplete Analysis:
Prepare accurate project cost estimates and budgets, considering materials, labor, and overhead expenses. Project loaders are to be discussed with foreperson and submitted for super review three days prior to CTC date. After CTC meetings PM should be tracking work loader hours on a weekly basis. c.Value Engineering:
Vigilant monitoring of project expenditures and financial performance against budget projections is essential. Identifying opportunities for cost optimization and implementing viable cost-saving measures are integral components of value engineering practices. d. HH2:Review :
Approve invoices and subcontractor payments in accordance with project budgetary constraints. e.Billing:
PM is responsible for submitting billing pencils to GC PM at the designated date via Siteline system. Follow up for approval must be performed and noted in the system. Once approved, with written backup, update Siteline accordingly. 4.Quality Assurance and Compliance:
a.Documentation & Records:
Maintain comprehensive records detailing project activities and issues, serving as a chronological account of events when necessary. Uphold meticulous documentation standards, encompassing contracts, plans, specifications, and correspondence. Regularly compile progress reports and status updates to disseminate to both internal and external stakeholders. b.BEC:
Collaborate with administrators to arrange inspections with regulatory authorities. Ensure all involved parties are informed of inspection schedules. Document inspection outcomes for internal reference and coordinate database updates with administrators. c.FDNY Compliance:
Partner with administrators to verify receipt of all requisite documents from the Fire Department of New York (FDNY). Facilitate the hiring of an expeditor and assignment of B-45 dates. Document inspection results for internal review and coordinate database updates with administrators. d.Close Outs:
Compile as-built drawings, operation manuals, and other project deliverables for turnover to clients upon project completion. Archive project documentation and records for future reference and audit purposes. i. As-Builts ii. Panel Schedules iii. Warranty Letters iv. BEC Approvals v. FDNY Approvals 5.Client Communication and Relationship Management:
a.Client Lesion:
Assume the pivotal role of primary client interface, promptly addressing inquiries, concerns, and requests with professionalism and efficiency. Uphold transparency by providing regular project updates and progress reports, fostering trust and confidence. b.Relationship Manager:
Take a proactive approach to cultivate relationships with the building team and clients, aiming to exceed expectations and establish enduring partnerships. Facilitate engagement opportunities for the service team to address post-construction needs. c.Conflict Resolution:
Handle client conflicts or disputes with tact and diplomacy, endeavoring to achieve mutually beneficial resolutions to emergent issues. 6.Risk Management and Problem Solving:
a. Identify potential risks and challenges that may impact project outcomes and develop mitigation strategies to minimize disruptions. Anticipate and resolve conflicts or issues that arise during project execution, maintaining focus on achieving project goals. b. Collaborate with project stakeholders to develop contingency plans and response strategies for unforeseen events or emergencies. Foster a culture of continuous improvement and innovation, encouraging proactive problem-solving and lessons learned. 7.Health, Safety, and Environmental Management:
a. Promote a culture of safety and environmental responsibility on the job site, enforcing compliance with OSHA regulations and industry standards. b. Investigate accidents, incidents, and near misses, implementing corrective actions to prevent recurrence.Physical Demands:

- Environmental Conditions
- Employees will walk throughout the area using all forms of transportation to visit multiple worksites throughout the day in varying environmental temperatures.
Pay:
$67,000.00- $100,000.
