$19.00-$22.00 per hour, depending on experience Join Our Team Are you someone who enjoys staying organized, solving problems, and helping a team succeed? We're looking for a dependable Administrative Coordinator to support our Project Manager and Chief Operating Officer in a fast-paced construction environment. This position is ideal for someone who enjoys keeping schedules on track, communicating with customers, and making sure day-to-day operations run efficiently. If you're proactive, detail-oriented, and thrive in a busy office, we'd love to hear from you. Position Overview As part of our operations team, you'll play a key role in coordinating production schedules, assisting customers, and supporting our field crews. This is an operations support position—not a traditional receptionist role—and you'll work closely with leadership to keep projects moving forward. Primary Responsibilities- Coordinate installation appointments with customers.
- Build and adjust daily production schedules.
- Answer incoming calls related to scheduling and project updates.
- Communicate with customers through phone, email, and text regarding appointments.
- Monitor scheduling communications and respond promptly.
- Document customer conversations and maintain accurate records.
- Review production paperwork for completeness before processing.
- Update and maintain Google Sheets, Google Docs, and other operational records.
- Assist with the company's ongoing transition to digital documentation.
- Partner with the Project Manager and COO to support daily workflow.
- Recommend process improvements that increase efficiency.
- Occasionally complete local errands using a company vehicle.
- Perform additional administrative and operational duties as needed. Qualifications
- Excellent communication and customer service skills.
- Highly organized with the ability to manage multiple priorities.
- Strong attention to detail and problem-solving skills.
- Comfortable working in a fast-paced environment.
- Professional when priorities change unexpectedly.
- Proficient with Google Workspace or Microsoft Office.
- Quick learner with new software. Preferred Experience
- Previous administrative or office support experience.
- Scheduling, dispatching, or production coordination experience.
- Construction, home services, or field service experience is a plus.
- Bilingual (English/Spanish) is a plus but not required. Schedule
- Monday through Friday
- Training schedule: 8:00 AM-4:00 PM
- After training, schedule may transition to 7:00 AM-3:00 PM or 7:00 AM-4:00 PM. What You'll Bring
