September 2026 Description/Purpose The Technology & Innovation Project Coordinator provides operational support for the American Philatelic Society's strategic technology initiatives. Working alongside the Director of Technology & Innovation and the Digital Projects Specialist, this role helps turn ideas into action by coordinating cross-functional projects, strengthening communication and collaboration, and supporting the successful planning and implementation of initiatives that modernize how APS serves its members and staff. Scope of Responsibility This position supports a diverse portfolio of technology projects that advance the American Philatelic Society's Strategic & Operations Plan. Projects span a wide range of disciplines including website and e-commerce, software modernization, Digital Library initiatives, AI exploration, and other technology infrastructure and digital transformation efforts. Because every project is different, this role contributes to initiatives that impact nearly every department across APS, creating meaningful improvements for staff, members, and the organization as a whole. Key Responsibilities
- Manage multiple projects, from planning through implementation, while staying organized, meeting tight deadlines, and balancing competing priorities
- In collaboration with the Director of Technology & Innovation, maintain project plans, timelines, documentation, and status updates to support successful project execution.
- Schedule meetings, prepare agendas, document key decisions and action items, and help ensure timely follow-up.
- Develop and maintain clear, professional communications and shared resources that keep stakeholders informed.
- Build strong working relationships with staff, members, vendors, and other project stakeholders.
- Serve as a communication bridge between technical and non-technical audiences
- Ask thoughtful questions, help uncover business needs, and define clear project requirements that support successful planning and implementation.
- Bring clarity and structure to complex, evolving, or ambiguous initiatives by organizing information, identifying next steps, and helping move projects forward.
- Research technology solutions, emerging trends, and industry best practices to support strategic planning, data-informed decision making, and continuous improvement.
- Adapt to changing priorities and a wide variety of projects, embracing new challenges and helping move strategic initiatives forward as organizational needs evolve.
Collaboration Expectations The Technology & Innovation Project Coordinator is expected to build strong, collaborative relationships across the organization and with external partners.
This role will:
- Work closely with the Director of Technology & Innovation and the Digital Projects Specialist to coordinate and support strategic initiatives.
- Partner with the Executive Director, Vice President of Operations, Director of Marketing, and other department leaders to support projects that advance organizational priorities.
- Collaborate with staff across departments to gather information, coordinate activities, and help keep projects organized and progressing as planned.
- Communicate effectively with vendors, members, and other external partners throughout the lifecycle of technology initiatives.
- Foster a collaborative, service-oriented approach by building trust, maintaining open communication, and helping connect people, technology solutions, and resources.
