Project Coordinator Westrum Development | Real Estate Development & Construction Are you the person who sees the details others miss—and makes sure things actually get finished? Westrum Development is seeking a Project Coordinator to join our Development team and play a critical role in supporting multifamily and senior living projects throughout the full project lifecycle. This is a hands-on, highly detailed role for someone who is comfortable managing multiple projects, priorities, deadlines, documents, vendors, and moving pieces at the same time. You will work closely with Project Managers, the Director of Construction, General Contractors, consultants, vendors, design professionals, and internal stakeholders to keep projects organized and moving forward. We are looking for someone who doesn't need to be told what to do at every step. You can be given a project or responsibility, understand what needs to happen, identify the details requiring attention, and run with it. You notice when something is missing. You follow up when something is late. You keep documentation organized. You catch inconsistencies. You adjust when priorities change. And when you take ownership of something, you see it through to completion. What You'll Do The Project Coordinator supports the Development department across preconstruction, construction, design coordination, purchasing, project closeout, and post-construction warranty activities. Preconstruction & Project Development Assist with project budget development, including site and vertical construction scopes. Solicit contractor and vendor proposals and coordinate the bid process. Review and compare bid scopes and prepare summaries to support project and executive decision-making. Assist with contract preparation, execution, routing, and document management. Coordinate Notices to Proceed (NTPs), project startup documentation, and vendor onboarding. Review project information to identify missing, incomplete, or inconsistent documentation. Track outstanding decisions, approvals, and deliverables to help maintain project schedules. Project Coordination & Construction Support Project Managers in coordinating General Contractors, consultants, design professionals, and site vendors throughout all phases of construction. Monitor project schedules, milestones, and critical path activities to help ensure projects remain on schedule and within budget. Track project progress and proactively follow up on outstanding items, decisions, and commitments. Prepare status reports, critical path schedules, executive summaries, project dashboards, and other project reporting. Participate in Owner Meetings, document action items, and follow up with General Contractors, design professionals, consultants, and vendors to ensure commitments are completed. Coordinate owner-directed vendors, including security, low-voltage, signage, landscaping, and other specialty contractors. Help ensure specialty vendors are properly integrated into the General Contractor's construction schedule. Participate in periodic field inspections and project walks to support quality control and confirm work is progressing in accordance with project scope. Project Documentation & Detail Management Maintain highly organized project files and document control systems. Manage project documentation in Procore, including drawings, RFIs, submittals, meeting minutes, revisions, and related project records. Review, track, and process contractor pay applications, change orders, RFIs, and supporting documentation for completeness and compliance with contract requirements. Identify discrepancies, missing information, and items requiring additional follow-up. Maintain accurate logs and trackers for project decisions, outstanding items, approvals, and deliverables. Keep project information current, accurate, organized, and accessible to the project team. Design & Technical Support Execute sketch plans in Bluebeam for prospective projects. Provide sketch plans during construction to support design changes and field coordination. Assist the Design Project Manager with design presentations and project materials for the Owner. Maintain the in-house finish material library. Coordinate interior and exterior renderings with third-party providers. Read and understand construction drawings and use that knowledge to support project coordination and problem-solving. Purchasing & Procurement Assist with furniture, fixtures, and equipment (FF&E) procurement. Solicit bids, support buyout activities, track orders, coordinate reselections, and communicate with vendors. Support procurement and coordination of owner-furnished and owner-installed materials, FF&E, and specialty vendors. Monitor procurement activities against the overall construction schedule. Track lead times, delivery dates, and outstanding selections. Proactively follow up on potential delays or issues before they impact the project schedule. Closeout & Warranty Coordinate project closeout activities, including punch list completion, operations and maintenance manuals, warranties, as-built documentation, training, and turnover to Property Management. Track outstanding closeout requirements through completion. Maintain and track post-construction warranty items. Coordinate resolution of warranty issues with General Contractors and applicable vendors. Follow outstanding issues through completion rather than simply passing them along. You can work effectively with Project Managers, contractors, vendors, consultants, design professionals, and internal teams. Stay organized under pressure. You can keep track of numerous moving pieces while maintaining accuracy and attention to detail. Enjoy getting things done. Qualifications Bachelor's degree preferred in Construction Management, Engineering, Architecture, Architectural Studies , or a related field. 3+ years of relevant experience in construction, real estate development, project coordination, architecture, engineering, or a related field preferred. General understanding of the construction and real estate development process. Ability to read and understand construction drawings. Proficiency with Procore, Bluebeam, and Microsoft Office , including Word, Excel, and Outlook, preferred. Experience with AutoCAD or Revit preferred but not required. Strong organizational, analytical, communication, and problem-solving skills. Strong attention to detail and ability to identify inconsistencies or missing information. Ability to work independently while collaborating effectively with a larger project team.
