Description:
The Project Coordinator oversees assigned projects and supports the Industrial PM team with various tasks for all Industrial projects. They ensure the success of Industrial Sales by managing project scope, margin, and timeline, while collaborating with Inside Sales, Project Engineers, Sales Engineers, Project Managers, Finance, and Service. The role serves as a liaison to customers and vendors throughout the project lifecycle.
Essential Functions and Responsibilities:
- Oversee project meetings, scope, timelines, budgets, and updates in CRM/Great Plains.
- Process change orders, cancellations, audits, and project closeouts.
- Customer and Vendor Relations
- Communicate with stakeholders; manage contracts, approvals, POs, and delivery tracking.
- Expedite approvals, resolve issues, and ensure vendor/customer alignment.
- Financial Management
- Ensure accurate invoicing, process vendor/customer invoices, and assist with credit/collections.
- Audit costs and escalate discrepancies.
- Manage inventory, shipments, allocations, and freight claims.
- Monitor reports, dashboards, and emails; participate in weekly check-ins.
- Provide project-related support to Sales, Finance, and other departments.
Education and Qualifications:
- High school diploma or equivalent plus 2 or more years of experience in high level administrative support and data entry position preferred; a combination of work experience and education will be considered on a case-by-case basis.
- 3+ years project management (or related sales) experience with emphasis on equipment distribution
- Excellent organizational, verbal and written communication and customer service skills
- Ability to handle multiple priorities, work independently and as part of a team
