Base Salary up to $100K, Year-End Discretionary Bonus, Paid Time Off, Comprehensive Benefits, 401(k), Professional Development Opportunities, and More Summary Join a prestigious global law firm as an Administrative Project Coordinator, providing high-level, concierge-style administrative and project support to attorneys, Global Directors, and Assistant Directors. Working closely with attorneys and business services professionals across the Firm, you'll coordinate complex travel and scheduling, support document management and business development activities, assist with client and internal meetings, and manage a variety of time-sensitive projects and administrative requests. Responsibilities For Administrative Project Coordinator Provide high-level administrative support to attorneys and business services professionals, including calendar management, time entry, expense reports, administrative requests, and special projects Coordinate complex domestic and international travel arrangements, including visa-related materials and passport renewal applications, while working with other Firm offices as needed Manage document organization, records retention, presentations, conference materials, mail, invoices, and other administrative tasks while maintaining accuracy and confidentiality Support business development activities, including preparing engagement letters and new matter memoranda, assisting with conflicts processes, and maintaining contacts and business activities in InterAction Coordinate internal and client meetings with Conference Services, including audio-visual, catering, external vendors, business meals, and other client-related arrangements Provide exceptional client and visitor service, including coordinating reception coverage, answering calls, facilitating conference and video calls, and assisting with client bills in coordination with Client Accounting and attorneys Collaborate with Firm departments and business services professionals on complex assignments, troubleshoot administrative and technology-related issues, and support department initiatives and other special projects Qualifications For Administrative Project Coordinator Bachelor's degree required 2+ years of related experience in a law firm or professional services environment Strong organizational and project management skills with the ability to prioritize multiple assignments, shifting responsibilities, and time-sensitive deadlines Excellent written and verbal communication skills with a high level of professionalism and a strong commitment to client service Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint; advanced Excel skills, including PivotTables, Filters, and Conditional Formatting, preferred Ability to handle sensitive and confidential information, exercise initiative and sound judgment, and work effectively both independently and as part of a team in a fast-paced environment Must be a Notary Public licensed in D.C., Virginia, or Maryland, or able to obtain a commission within six months of joining the Firm; flexibility to adjust hours as needed to meet business requirements
