Through concerts, workshops, community gatherings, hospitality partnerships, and special events, the Roadhouse connects artists, residents, cultural workers, visitors, public partners, and local businesses while supporting cultural tourism and regional economic development. About the Opportunity Show Brazil Productions is seeking a highly organized, detail-oriented, and dependable Operations & Reporting Coordinator to strengthen operational coordination, documentation, performance reporting, compliance, and leadership support for the Roadhouse. The coordinator will work directly with the Roadhouse Managing Director to ensure that operational information, internal assignments, reporting requirements, and organizational priorities remain accurate, organized, and completed on schedule.

The selected contractor will enter into an Independent Contractor Agreement directly with Show Brazil Productions to provide services supporting the Roadhouse through December 31, 2026 . Position Purpose The Operations & Reporting Coordinator ensures that Roadhouse operations, documentation, reporting, grant compliance, and leadership priorities remain coordinated and accurately documented. The position serves as the primary operational coordination and reporting resource for the Managing Director. By organizing information, monitoring deadlines, tracking assignments, and preparing documentation, the coordinator helps leadership maintain accountability while focusing on strategic planning, programming, partnerships, and organizational growth. This role is not responsible for making final management, programming, financial, or personnel decisions. Those responsibilities remain with Roadhouse and Show Brazil Productions leadership. Primary Responsibilities1.
Operations Coordination The contractor will:
- Track weekly and monthly Roadhouse activities.
- Maintain a centralized operational calendar.
- Monitor event schedules, deadlines, assignments, and follow-up actions.
- Track event coordinators, artists, contractors, staffing assignments, and program activity.
- Coordinate the collection of post-event documentation.
- Maintain organized digital and physical operational records.
- Identify missing, incomplete, or late materials before reporting deadlines.
- Communicate operational concerns and unresolved action items to the Managing Director.
- Support coordination among contractors, event coordinators, production staff, and administrative leadership. 2. Reporting and Performance Documentation The contractor will compile, organize, and prepare information supporting:
- Quarterly Roadhouse Performance Reports.
- Sound Transit reports and deliverables.
- City of SeaTac reports and deliverables.
- Hotel-Motel Tax funding documentation.
- Grant reports.
- Internal operational summaries.
- Partner reports.
- Performance dashboards.
- Leadership presentations.
- Annual and quarterly program assessments. The contractor may prepare initial report drafts, tables, summaries, and supporting materials for leadership review and final approval. 3. Data and Metrics Tracking The contractor will maintain and monitor relevant organizational information, including:
- Overall event attendance.
- Visitor and traveler attendance.
- Repeat visitors.
- Hotel guest participation.
- Community engagement indicators.
- Number and type of programs presented.
- Artist participation.
- Cultural Workers participation.
- Hospitality and community partnerships.
- Marketing and outreach activity.
- Event frequency.
- Staffing and contractor participation.
- Program expenses and approved operational information.
- Other performance indicators required by funding or public partners. 4. Compliance Support The contractor will assist leadership by helping ensure that:
- Required reports are submitted on time.
- Supporting documentation is complete.
- Reported activities align with invoices and contract deliverables.
- Attendance and program records are properly maintained.
- Grant language and reporting categories are used consistently.
- Public-funding documentation is organized and accessible.
- Required photographs, schedules, invoices, promotional materials, and supporting evidence are retained.
- Missing compliance materials are identified before they become reporting concerns. The coordinator will not provide legal, accounting, or financial-audit services. 5. Executive Coordination Support The contractor will provide operational coordination support directly to the Managing Director by:
- Maintaining a central list of leadership priorities and action items.
- Tracking assignments resulting from meetings.
- Following up on internal deadlines and requested deliverables.
- Preparing meeting agendas, briefing materials, and supporting documents.
- Organizing information required for leadership meetings.
- Assisting with reports, presentations, funding documentation, and operational correspondence.
- Coordinating information requested by Sound Transit, the City of SeaTac, funding partners, and organizational stakeholders.
- Maintaining organized files that support leadership planning and decision-making.
- Preparing initial drafts or summaries for review by the Managing Director.
- Helping ensure that commitments made during meetings receive appropriate follow-up.
- Flagging urgent matters, delayed assignments, or incomplete information for leadership attention. This support is limited to Roadhouse and Show Brazil Productions projects and does not include personal errands or unrelated personal-assistant responsibilities. 6. Internal Coordination The coordinator will collect and organize information from:
- Event Coordinators.
- Digital Media Content Specialist.
- Marketing & Communications Specialist.
- Hospitality & Tourism Outreach Specialists.
- Community Engagement Specialist.
- AV leadership and technical contractors.
- Cultural Workers.
- Administrative leadership.
- Artists and program partners, when authorized.
The coordinator will communicate respectfully and professionally while maintaining clear records of requested and received materials. 7.
Meeting Support The contractor may:
- Participate in weekly or scheduled coordination meetings with the Managing Director.
- Attend monthly production meetings.
- Prepare agendas and supporting documents.
- Record major decisions and assigned action items.
- Distribute approved meeting summaries.
- Monitor follow-up responsibilities.

No employee benefits are provided. The contractor is responsible for all applicable federal, state, and local taxes, insurance, equipment, transportation, and ordinary business expenses. Organizational Records and Ownership All reports, spreadsheets, databases, templates, meeting notes, contact records, calendars, operational documents, presentations, correspondence drafts, compliance materials, and related work created under the agreement will remain the property of Show Brazil Productions.
The contractor must:
- Maintain records in systems approved by leadership.
- Provide leadership with continuous access to current documents.
- Return or transfer all organizational records at the conclusion of the contract.
- Refrain from retaining or using confidential organizational information for unrelated purposes. Confidentiality The contractor must maintain strict confidentiality regarding non-public information involving:

- The Roadhouse.
- Sound Transit.
- The City of SeaTac.
- Funding applications and reports.

Confidentiality requirements will continue after the contract concludes. Independent Contractor Status This opportunity is offered exclusively through a Temporary Independent Contractor Agreement .
The selected contractor:
- Will not be considered an employee of Show Brazil Productions, the Roadhouse, Sound Transit, or the City of SeaTac.
- Will not receive employee benefits, unemployment benefits, or other employment-related benefits.
- Will be responsible for all applicable taxes, insurance, licenses, equipment, and business expenses.
- Will independently organize the professional methods used to complete assigned projects while meeting agreed-upon deadlines, deliverables, reporting requirements, and organizational standards.
Contract Term The agreement will begin on the mutually agreed start date and expire on December 31, 2026 , unless terminated earlier according to the terms of the Independent Contractor Agreement. This is a temporary, project-based contract. Continuation beyond December 31, 2026 , is not guaranteed and will depend upon:
- Future operational needs.
- Available funding.
- Contractor performance.
- Roadhouse management agreements.
