As we continue to grow, we are seeking a highly organized and detail-oriented Project Administrator / Project Coordinator to support our Project Management team and contribute to the successful delivery of projects nationwide. Position Summary The Project Administrator / Project Coordinator provides critical administrative and project support throughout all phases of construction projects, from project startup through closeout. This role works closely with Project Managers, Superintendents, Clients, Subcontractors, and Vendors to ensure project documentation, communication, and reporting are organized, accurate, and completed on schedule. This position is based out of our Green Bay, Wisconsin office , with the potential for a remote work arrangement for highly qualified candidates located within Wisconsin. Key Responsibilities Support Project Managers with day-to-day project administration and coordination. Create, maintain, and organize project files and documentation. Process contracts, subcontracts, purchase orders, and change orders. Track and maintain subcontractor compliance documentation, including insurance certificates, W-9s, lien waivers, and executed agreements. Distribute and manage RFIs, submittals, drawings, meeting minutes, and project correspondence. Assist with project startup and project closeout activities. Monitor project deadlines, deliverables, and milestones. Prepare reports, spreadsheets, and project status updates. Support invoicing, accounts payable, and accounts receivable activities related to projects. Coordinate meetings, travel arrangements, and project logistics as needed. Maintain project information within company software platforms and databases. Collaborate with internal teams and external partners to help ensure timely project execution. Perform additional project support and administrative duties as assigned. Qualifications Required Qualifications 2+ years of experience in project coordination, project administration, construction administration, or a similar administrative role. Excellent organizational and time-management skills. Strong attention to detail and accuracy. Effective written and verbal communication skills. Ability to prioritize multiple tasks in a fast-paced environment. Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams. Preferred Qualifications Experience working for a commercial general contractor, subcontractor, or construction-related company. Familiarity with construction documentation processes, including RFIs, submittals, change orders, contracts, and closeout procedures. Experience using Procore, Autodesk Construction Cloud, Viewpoint, or similar construction management software. Associate's or Bachelor's degree in Business Administration, Construction Management, or a related field.
