We are seeking a detail-oriented and motivated Project Coordinator to support public involvement initiatives and project activities on infrastructure-related projects. The Project Coordinator will assist with coordinating tasks, supporting public outreach efforts, and ensuring smooth communication among project teams, clients, and stakeholders. Key Responsibilities Project Support and Coordination Assist in organizing logistics and details for public meetings, community outreach events, open houses, or focus groups planning Coordinate project schedules, track deadlines, and monitor task progress to ensure timely delivery. Support the creation of project documentation, including reports, presentations, meeting summaries, and outreach materials. Maintain and update project tracking tools, databases, and calendars to monitor milestones and deliverables. Provide day-to-day project support to managers and senior staff, ensuring smooth execution of project activities. Provide coordination and analytical support for project teams, including comment management, stakeholder categorization, and outreach tracking. Client, Stakeholder, and Community Engagement On a case by case basis, serve as a point of contact for clients, stakeholders, and community members, ensuring timely and professional communication. Assist with preparing outreach content, such as meeting notices, flyers, surveys, or social media posts. Support facilitation of public meetings and workshops, including setup, participant coordination, and follow-up. Gather, organize, and document feedback from public involvement activities, ensuring accurate records for reporting and analysis. Research and Data Analysis Conduct market and audience research, including stakeholder mapping, community demographics, and regional trend analysis. Collect and analyze public feedback from surveys, social media, and public meetings to identify key themes and concerns. Support data analysis and reporting by compiling survey results, creating dashboards, and preparing client-ready summaries, reports, and infographics. Track media coverage and public sentiment related to client projects or issues. CRM and Database Management Assist with building and maintaining project management and CRM databases. Support business development efforts through client data analysis, CRM system setup, and database management. Strategic Communication Support Research and evaluate communication tools and strategies, including geofencing and other digital engagement methods. Monitor, log, and analyze community input and media inquiries for project reporting and communication strategies. Team Collaboration Work closely with project managers and senior staff to align on goals, priorities, and deliverables. Participate in internal planning sessions to brainstorm strategies for effective outreach and engagement. Provide administrative support as needed, such as scheduling, note-taking, and preparing meeting agendas. Qualifications Bachelor's degree in Communications, Public Relations, Urban Planning, Political Science, Marketing or a related field (or equivalent experience). 1-3 years of experience in project coordination, community engagement, public affairs, or a related role. Strong organizational skills and the ability to manage multiple projects simultaneously. Excellent written and verbal communication skills; ability to engage with diverse audiences. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools (e.g., Asana, Smartsheet, or similar). Experience with digital engagement platforms, survey tools, or social media management is a plus. Willingness to occasionally work evenings or weekends to support community events.
