Both positions coordinate assigned client projects and support the specialty processes described below. Project and focus-area assignments may change based on business needs and individual strengths.

40 hours per week; regular office hours are 8:30 a.m.-5:00 p.m., with a 30-minute lunch break. Occasional evening or weekend work may be needed. We specialize in kitchens, bathrooms, whole-home remodels, additions, basements, porches, mudrooms, and a range of custom projects. Role Summary The Project Coordinator keeps Tusk Builders client projects organized and moving, from pre-construction and design through construction, closeout, and warranty. You'll be part of a fast-paced, growing family business, working with clients, trades, subcontractors, inspectors, and our team every day. Each coordinator owns a set of client projects from start to finish and is the client's go-to contact along the way. Each also takes responsibility for an assigned specialty area across projects, such as operations or client experience. Assignments remain flexible. Our goal on every project is simple: on time, on budget, and a client experience so good they hire us again. What Success Looks Like In your first 3 to 6 months, you'll learn the Tusk way of running projects alongside our Project Manager. Independent project running:
You independently coordinate a growing portfolio of projects, with confidence that builds with each one. Core responsibilities (both coordinators) On your own projects, you'll handle every phase. Supports client discovery and design meetings, and sets agendas and takes notes Builds project timelines and to-dos in Buildertrend Collects subcontractor documents before work starts purchase order, master subcontractor agreement, W-9, and certificate of insurance Tracks client selections, outstanding decisions, and open action items so nothing holds up the schedule Supports the Project Manager with estimating, including gathering trade bids and organizing costs Coordinates the handoff from design into construction, so every client decision and promise carries through to the job site Construction Schedules trades, subcontractors, and inspections, and is on site for inspections Orders materials and client selections, confirming lead times, quantities, and finishes so everything arrives when the schedule needs it Makes sure materials and supplies are on the job site ahead of time, including inspecting deliveries, organizing storage of client selections and project materials, and occasionally picking up or dropping off materials Supports the Project Manager with site-specific tasks and participates in site meetings Sends clients regular updates on progress and next steps Monitors progress against the timeline and budget, and flags risks to the Project Manager Schedules and attends client milestone meetings, such as the kickoff, rough-in walkthrough, punchlist and final walkthrough, making agendas and sending follow-up notes Takes regular project photos and keeps project documentation organized in Buildertrend, including plans, permits, change orders, inspection reports, and daily logs Occasional jobsite cleanup and organization as needed, including tidying work areas, organizing materials, and helping keep sites safe, presentable, and respectful of clients' homes Matches subcontractor and vendor invoices to their purchase orders before payment, and flags any differences to the Project Manager Decision-making and escalation Independently purchases approved client selections and job materials within the approved project scope and budget. Obtains Project Manager approval for any purchase outside approved selections. The Project Manager approves all change orders. Documents client-requested changes, gathers pricing and schedule impacts, and routes change orders for approval before affected work proceeds. Keeps approved changes current in Buildertrend. Coordinates with the Project Manager on jobsite readiness, trade sequencing, and delivery needs. Promptly escalates quality, safety, and schedule concerns to the Project Manager. Closeout and warranty Tracks punch list items through completion Schedules and follows up on warranty requests Gathers client feedback at the end of each project Coordinates delivery of closeout materials, such as warranties, care instructions, and required project records, and confirms outstanding items are assigned and tracked. Focus Areas Each coordinator also owns one process across all Tusk projects. Owning it means building and documenting the system, keeping it consistent, and helping teammates use it, not doing every task on every project. Operations focus For someone who loves detail, systems, and getting the logistics right. Owns the purchase order and material ordering process, including templates, vendor accounts, and delivery tracking Maintains subcontractor compliance records, including tracking insurance expiration dates for repeat subs Builds and maintains Buildertrend templates for timelines, to-dos, estimates, and schedules Keeps vendor and trade contact lists current Owns the process for matching invoices to purchase orders across all projects Prepares client progress invoices and supports accounts payable Client experience focus For someone who loves people and making clients feel taken care of. Owns client communication standards, including weekly update templates and tone Owns client facing deliverables during each milestone of the pre-construction phase, the construction phase, and the project closure phase Manages the selections hub and tracking process so clients make decisions on time Owns the warranty tracking system and follow-up Runs post-project surveys and requests reviews, and shares what we learn with the team Focus areas will be revisited after 6 to 12 months as strengths become clear.

Most days are in person, with regular work at active residential renovation sites. Occasional work-from-home days may be arranged with the Project Manager. Essential jobsite tasks include navigating active construction sites, inspecting deliveries, organizing material storage, taking project photos, and occasionally sweeping or tidying work areas, with or without reasonable accommodation. Ability to lift and carry items weighing less than 40 pounds is helpful. Uses a personal vehicle for business travel in Minneapolis, St. Paul, and the first-ring suburbs, usually within 15 miles of the office. Paid time off:
15 eight-hour days (120 hours) annually for full-time work, earned as you work and including Earned Sick and Safe Time, with up to 80 hours of unused PTO carrying over to the next year.
