Position:
1 Opening Position Overview We are seeking an experienced Project Coordinator IV to support Engineering and Operations teams in a fast-paced technical and field-service environment. This role will be responsible for coordinating project activities, developing and documenting scopes of work, managing purchase order processes, tracking financial information, and providing day-to-day operational support. The ideal candidate is highly organized, detail-oriented, and comfortable working across multiple systems and collaborating with cross-functional teams. Key Responsibilities Work closely with Engineering and Operations teams and participate in daily meetings to help define, coordinate, and document project scopes. Review inspection reports, analyze damage photos, and develop detailed Scope of Work (SOW) documentation. Utilize tools such as Smartsheet, Salesforce, Excel, and internal service request systems to track and manage project information. Support the full purchase order (PO) lifecycle , including: Submitting PO requests Tracking approvals Managing scope changes Monitoring PO status Ensuring timely closure following invoice processing Review and process vendor invoices within a 14-day SLA . Partner with Project Managers, suppliers, and other stakeholders to investigate and resolve invoice discrepancies. Maintain accurate and up-to-date financial tracking sheets, including cost and invoice information. Assist with data cleanup, reporting, and other operational improvement initiatives. Build custom reports and provide data analysis as required. Support investigation-related activities across multiple platforms and systems. Provide general project and administrative support to Engineering and Operations teams. Manage multiple priorities while maintaining a high level of accuracy and attention to detail. Required Qualifications High School Diploma or GED required; additional education is an asset. Experience in operations support, project coordination, administrative support, or a similar role within a technical or field environment . Strong proficiency with Microsoft Excel , including tracking, data management, and reporting. Ability to work effectively across multiple software platforms and systems, including tools such as Smartsheet, Salesforce, and proprietary/internal systems . Experience managing purchase orders, invoices, budgets, cost tracking, or other financial/project controls activities . Strong written and verbal communication skills. Excellent organizational skills and attention to detail. Ability to collaborate effectively with Engineering, Operations, Project Management, suppliers, and other cross-functional stakeholders. Ability to work independently while managing multiple priorities in a fast-paced environment. Preferred Qualifications Experience supporting wind, energy, construction, power generation, or field service operations . Experience developing or supporting Scopes of Work (SOWs) . Exposure to technical documentation, inspection reports, or field-service documentation. Experience working in a technical, engineering, construction, or industrial environment. Work Environment This is a hybrid position requiring a minimum of three days per week in the Schenectady, NY office . Candidates who are local to the Schenectady area are strongly preferred. The successful candidate will work closely with multiple teams and stakeholders and should be comfortable operating in a dynamic environment where priorities may shift based on project and operational needs.
