We are looking for a highly organized, proactive, and owner-minded Real Estate Project Manager to oversee listing preparation, transaction support, client communication, vendor coordination, and day-to-day operational projects. Position Overview The Real Estate Project Manager serves as a central point of coordination between clients, agents, vendors, transaction coordinators, and internal team members. This person is responsible for taking ownership of projects from start to finish and ensuring that listings, transactions, and operational priorities move forward smoothly, efficiently, and on schedule. This role requires someone who can work independently with minimal supervision . The successful candidate will be expected to identify what needs to happen next, anticipate potential issues, develop solutions, and take appropriate action without waiting for step-by-step direction. The ideal candidate has strong judgment, thinks several steps ahead, follows through consistently, and knows when to make decisions independently and when leadership approval is necessary. Real estate experience is preferred, but we also welcome experienced candidates from project management, operations, executive support, customer success, hospitality, or other fast-paced, client-facing industries. Key Responsibilities Listing Project Management Manage listing preparation projects from pre-listing through market launch. Develop and maintain project timelines, ensuring milestones and deadlines remain on track. Coordinate cleaners, stagers, photographers, inspectors, contractors, landscapers, and other service providers. Obtain and review proposals and bids and coordinate necessary approvals. Oversee listing preparation expenses with strong financial awareness and attention to cost control. Monitor vendor performance and proactively follow up on outstanding work. Anticipate potential delays, dependencies, and issues before they impact the listing timeline. Independently troubleshoot problems and coordinate appropriate solutions. Ensure properties are prepared, marketed, and launched on schedule. Client & Agent Support Serve as a primary point of contact for clients throughout listing and transaction projects. Provide timely and proactive updates without waiting for clients or leadership to request status information. Deliver exceptional customer service and maintain professional client relationships. Anticipate client and agent needs and proactively coordinate next steps. Support agents with operational, administrative, and project-related needs. Help create a seamless experience for buyers and sellers. Transaction Coordination Support Track transaction milestones, contingencies, and important deadlines. Coordinate with escrow officers, lenders, transaction coordinators, vendors, and agents. Monitor disclosures, reports, inspections, and required documentation. Proactively follow up on outstanding items before they become urgent. Maintain accurate and organized transaction records. Help keep transactions moving smoothly from contract through close. Operations & Team Coordination Take ownership of assigned projects and independently drive them from planning through completion. Maintain project trackers, checklists, calendars, and internal systems. Manage multiple active listings, escrows, vendors, and operational projects simultaneously. Anticipate upcoming needs, deadlines, dependencies, and potential roadblocks. Determine appropriate next steps without requiring continuous direction from leadership. Research issues, evaluate possible solutions, and make appropriate decisions within the scope of the role. When leadership involvement is necessary, present the relevant information, available options, and a recommended course of action. Proactively follow up with clients, vendors, agents, and team members and close open loops. Prepare clear status updates and reports. Identify opportunities to improve processes and operational efficiency. Support leadership with special projects and changing business priorities as needed. Qualifications 3-5+ years of relevant experience in project management, operations, real estate, executive support, customer success, hospitality, or a related field preferred. Demonstrated ability to independently manage projects from beginning through completion. Proven ability to identify problems, evaluate options, and implement solutions. Strong judgment and decision-making skills. Excellent organizational and time-management skills. Excellent written and verbal communication. Strong attention to detail and consistent follow-through. Ability to manage multiple projects, deadlines, and competing priorities simultaneously. Strong financial awareness, including experience reviewing estimates, expenses, budgets, or project costs. Resourceful, proactive, and solution-oriented. Comfortable working independently with minimal supervision. Able to remain calm, organized, and responsive under pressure. Valid driver's license and reliable transportation. Comfortable traveling locally throughout Santa Clara County and surrounding areas as needed. Technology & Systems Strong proficiency with Google Workspace and cloud-based collaboration tools. Comfortable learning and utilizing new software and technology platforms. Ability to maintain organized digital records and project tracking systems. Experience with project management platforms, CRMs, or real estate technology is a plus. The person in this role must be comfortable wearing multiple hats, making appropriate decisions, and stepping in wherever needed to support the team and our clients. Schedule & Flexibility A high level of flexibility and responsiveness is important for this position. While the role generally follows standard business hours, occasional evening or weekend availability may be required for urgent client, vendor, listing, or transaction-related matters. Local travel throughout Santa Clara County and surrounding areas will also be required depending on active projects.
