Responsibility and accountability for all assigned projects by monitoring costs so they fall within or under quotes or estimates, by meeting all specified deadlines and by ensuring that the product matches the project specifications. Responsibilities Review and process Production and Service/Freight sales order documents. Check for completeness of project details and assign labor hours and material costs. Arrange and lead put-to-detail meetings for all projects. Monitor and contribute to the detailing process for timeliness and accuracy of drawings. Assign labor (by operation codes) and material (by commodity codes) to all orders. Communicate production hours to production personnel. Process rush work orders immediately and hand carry to Production Supervisors. Write purchase orders for direct purchase materials. Notify shipping/receiving of large quantity stock materials coming in. Arrange and lead put-to-work meetings for all projects. Provide necessary detailed drawings and information to production to ensure timely, accurate completion within budget. Work with Production Supervisors and Lead Person to lay out project parameters and specific crew assignments. Monitor progress on jobs in NetSuite and eBacon by reviewing actual shop progress to ensure completion on time and within budget. At first indication that a project may run overestimate, the Project Manager must notify the Director of Operations, and salesperson in writing, with a copy put into the job folder.
Information needed:
(1) Where the overrun is (2) Estimate of how much and why project is over (3) Recommendations on how to correct. Maintain up-to-date and accurate files on all work in process. Weekly report on progress on projects, problem areas, and jobs which can close. Place order and monitor progress of set-up drawing to ensure on time completion. Provide input to Director of Operations and Production Supervisors to complete daily and long-range schedules. Prepare project timeliness as needed or directed by the Director of Operations. Keep Director of Operations appraised of workload and problem situations. Respond to customer questions in Salesperson's absence. Follow all production-related procedures as described in Operational Procedures Manual. Other duties may be assigned. Skills & Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Pre-Production & Planning Skills Scope definition & change management (tight timelines mean every scope creep has cost/schedule impact). Budgeting, job-cost control, & margin protection—aligns with your internal SOPs and cost-monitoring focus. Timeline development & critical-path scheduling (coordination across design, fabrication, graphics, warehouse, show services). 2.
Exhibit Fabrication & Technical Knowledge Understanding of:
  • Custom fabrication materials (wood, aluminum extrusion, laminates, substrates).
  • AV, lighting, power requirements, and vendor logistics.
  • Graphic production workflows (file prep, proofing, material types).
  • On-site installation/dismantle methods and supervising I&D labor.
Ability to read construction drawings, shop build plans, and CAD renderings. Strong CAD and programming CNC skills (these are must 3. Vendor & Client Management Client communication & expectation management—clear timelines, approvals, and deliverables. Vendor selection, quoting, and negotiation (AV, flooring, electrical, rigging, labor decorators). Managing GSC relationships (Freeman, GES, Fern, etc.) and understanding their service order systems. 4. Operations & Internal Coordination

Administrative & Documentation Skills Job costing documentation (quotes, COs, POs, time tracking). Detailed daily notes, meeting recaps, and client approvals. Maintaining asset tracking, pull lists, and warehouse return forms. Project management software, Excel trackers, and SWX internal templates. 7. Soft Skills Specific to the Trade-Show World High emotional intelligence
