Job Details Description Role and Responsibilities Submit daily headcounts and force reports to ensure accurate and timely manpower reporting. Manage employee badging and all related paperwork, including coordinating the complete badging process. Perform field clerical duties, including collecting, reviewing, and submitting weekly timesheets. Create, process, and distribute purchase orders as needed. Perform accurate and timely data entry while maintaining organized project and employee records. Utilize Microsoft Office Suite to complete daily administrative tasks, reports, spreadsheets, and documentation. Distribute project information, updates, and other important communications to field crews. Assist the Project Manager with field paperwork, documentation, and other administrative tasks. Maintain organized and accurate project files, records, and documentation. Communicate with field employees, project management, and office personnel to ensure information is relayed accurately and efficiently. Assist with coordinating employee documentation, project requirements, and other field-related administrative needs. Provide administrative support to help maintain efficient day-to-day field operations. Maintain confidentiality of employee, project, and company information. Support management and project teams with additional administrative and clerical responsibilities as needed. Qualifications and Education Requirements Familiarity with field assistant or clerical work is preferred. Industrial project experience is strongly preferred. Experience with DISA and/or the Houston Area Safety Council (HASC) is preferred. Strong organizational and time-management skills. Excellent written and verbal communication skills. Ability to establish trust and maintain professional relationships with employees, candidates, managers, and clients. Strong attention to detail and accuracy when maintaining records, employee information, and reports. Ability to work effectively in a fast-paced environment and respond quickly to changing project staffing requirements. Strong computer skills with the ability to learn and utilize staffing, scheduling, and reporting systems. Ability to work independently while also functioning effectively as part of a team. Strong problem-solving, follow-up, and decision-making skills. Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines in a fast-paced project environment. Ability to maintain confidentiality and exercise good judgment when handling employee and candidate information. Spanish-speaking ability is preferred. PPE and Field Work Requirements The individual must be able to work in the field and properly wear and utilize all required personal protective equipment (PPE) when working or visiting areas where PPE is required. This includes, but is not limited to, a hard hat, safety glasses, hearing protection, and steel-toed shoes. This position is primarily field-based and requires the individual to work on industrial projects and turnarounds. Weekend work is required , and the individual must be willing and able to work weekends and extended hours as project schedules require. Background Check and Drug Screening Requirements Must be able to successfully pass SWR's required background screening, including a DISA background score of 0 . Must be able to successfully pass required hair follicle, oral fluid, and urine drug screenings . Successful completion of all required background checks and drug screenings is a condition of employment and is required for field work. Additional Employment Requirements SWR expects and requires all employees to observe and fulfill all safety responsibilities as outlined in workplace safety training, and actively work toward maintaining a safe workplace. Failure to do so can result in disciplinary action, up to and including termination of employment. Regular attendance and punctuality are required of all employees.
