Job Description

The Project Coordinator supports project execution through planning, administrative support, documentation, and cross-functional coordination from order entry through shipment and closeout. Working closely with Project Managers, internal departments, customers, suppliers, and other stakeholders, the role helps keep projects organized and on schedule by tracking actions, approvals, materials, documentation, and key milestones. Associate degree in Business Administration, Project Management, Engineering Technology, or related field preferred; equivalent relevant experience may be considered. 2-4 years of experience in project coordination, project administration, order management, manufacturing support, or a related role preferred. Experience in a manufacturing , engineering, construction, or other project-driven environment preferred. Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-moving environment. Strong follow-up, attention to detail, and commitment to accurate, professional work. Excellent written and verbal communication skills with the ability to work effectively across departments and with external stakeholders. Ability to recognize schedule-sensitive issues and escalate them appropriately. C omfortable working independently while supporting multiple Project Managers and project teams. Adaptable to changing priorities, schedules, and customer requirements. Provide day-to-day administrative and planning support to Project Managers across multiple customer orders and projects. Maintain project schedules, trackers, action lists, milestones, customer requirements, and status information. Support order-entry and project kickoff activities by gathering and organizing customer and project requirements. Assist with routine customer, supplier, and external partner communication, status requests, and follow-up under the direction of the Project Manager. Schedule project meetings; prepare agendas, record minutes and action items. Track drawings, submittals, RFIs, approvals, and other deliverables with Document Control; escalate overdue or schedule-critical items. Assist with coordination of inspections, production milestones, shipping requirements, customer visits, and other project activities. Maintain accurate project files and business-system updates; support status reporting, schedule updates, change activities, and project closeout. Supporting document control. Identify missing information, overdue activities, and potential schedule concerns; support standardized project tools and continuous improvement initiatives.
