This is an administrative-heavy support position that will work closely with the Senior Project Coordinator and Project Managers to help keep multiple construction projects organized and on track. The Assistant Project Coordinator will provide support with subcontractor documentation, contracts, Notice to Proceed (NTP) tracking, bids, submittals, project records, and general project follow-up from project start through closeout. This is a support position and does not have project management or supervisory responsibilities. The ideal candidate is dependable, organized, comfortable following up with subcontractors and vendors, and able to manage multiple administrative tasks and deadlines. Key Responsibilities Preparing, sending, tracking, and organizing subcontractor contracts Preparing and tracking Notices to Proceed (NTPs) Maintain subcontractor documentation, including contracts, COIs, W-9s, lien waivers, and other required compliance documents Follow up with subcontractors and vendors for missing or outstanding documentation Maintain and update project tracking spreadsheets to monitor subcontractor progress, including start dates, completion deadlines, days remaining, days past due, and overall status. Follow up with subcontractors on approaching and past-due completion dates and provide status updates to the Senior Project Coordinator. Assist with maintaining weekly subcontractor schedule and delay reports to identify upcoming deadlines and potential project delays. Assist with sending bid invitations and collecting subcontractor proposals Organize bids, proposals, quotes, and supporting documentation for review Assist with tracking subcontractor start dates, completion dates, and project deadlines Maintain and update project trackers, spreadsheets, and internal reports Assist with RFI, submittal, and change order logs and documentation Upload and maintain project documents in Buildertrend and company filing systems Maintain organized digital and physical project files Assist with documentation related to permits, inspections, surveys, and utilities Communicate with subcontractors and vendors regarding documentation, scheduling, bids, and requested information Provide administrative support to the Senior Project Coordinator and Project Managers Follow up on assigned open items and provide status updates Assist with project closeout documentation Perform additional administrative and project coordination duties as needed Qualifications Minimum 2-3 years of administrative experience preferred; construction-related experience is a plus Previous experience in administrative support, office management, project coordination, contracts, or a related field encouraged to apply Strong organizational skills and attention to detail Strong follow-up skills and ability to keep track of outstanding items Ability to handle multiple projects, priorities, and deadlines Proficient with Microsoft Office, including Excel, Word, and Outlook Experience with Buildertrend or other construction management software is a plus Familiarity with construction documentation and terminology is preferred but not required Excellent written and verbal communication skills Professional and comfortable communicating with subcontractors, vendors, and internal team members Ability to take direction, work independently on assigned tasks, and communicate when assistance is needed The ideal candidate is someone who is organized, proactive, and dependable. We are looking for someone who can receive an assignment, track it, follow up when necessary, and make sure it does not get lost or forgotten. This position is ideal for someone who enjoys administrative work, keeping projects organized, and supporting a busy construction team while learning more about the construction project process.
Pay:
$16.00 - $18.00 per hour Expected hours: 40.0 per week
